Job Summary


The Records and Administration Assistant is responsible for providing administrative support to the Records team and maintaining accurate and up-to-date filing systems.

The role will also assist in the organisation of the company's records and assisting with the management of clients' documents.

Responsibilities:


We are currently seeking a detail-oriented and organized individual to join this St Kilda Rd team as a Records and Administration Assistant.

In this role, you will be responsible for providing administrative support to the Records team, maintaining accurate filing systems, and ensuring efficient management of clients' documents.


Responsibilities:

Records Management:

  • Maintain physical and digital records, ensuring proper filing, storage, and easy retrieval using Mfiles.
  • Manage general and insurance filing systems.
  • Maintain electronic client files.
  • Check registries and update Salesforce.
  • Handle daily mail reception and dispatch.
  • Perform data entry and assist with other administrative tasks as needed.
  • Undertake adhoc administration tasks as directed by your People Leader.

Qualifications:

  • Proven experience as an administration/records assistant.
  • Strong organizational and time management skills.
  • Excellent attention to detail and ability to maintain accurate records.
  • Proficiency in Microsoft Office and other relevant software.
  • Strong communication and interpersonal skills.
  • Knowledge of records management best practices and principles.
  • Strong IT skills and ability to learn new systems.
  • Experience with M-Files will be highly regarded.
  • Selfstarter who can use initiative to solve problems.
