The Position

The Administrative Specialist is responsible for providing support to executive staff by coordinating office services and handling administrative and office details.

Essential Responsibilities:

1) Under general supervision and acting on their own initiative, performs advanced secretarial, clerical, and administrative duties for Executive-level management.

2) Possesses extensive knowledge of office practices and procedures.

3) Possesses and displays the ability to apply techniques, procedures and criteria in carrying out a wide variety of related clerical and administrative tasks for executive management.

4) Performs advanced secretarial, clerical, and administrative duties for Executive-level management.

5) Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company products, policies, and programs.

6) Facilitates decision-making.

7) Assembles and analyzes information, and prepares reports, manuals, agendas, correspondence and memoranda.

8) Answers mail and inquiries on own initiative and follows up with other departments to ensure that requests are carried out.

9) Coordinates activities across departments.

10) Arranges and make notifications of appointments and travel reservations/arrangements.

11) Answers telephone calls, tactfully handles inquiries and/or transfers calls to the appropriate party.

12) Checks and processes expense reports.

13) May take dictation and transcribe notes for letters, memos, or reports.

14) Prepares materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and combine materials from several sources.

15) Plans the layout of complex reports and statistical tables.

16) Interfaces with other Secretaries/Administrative Assistants to share or coordinate workload.

Perform all other position-related duties as assigned or requested.

Minimum Position Knowledge, Skills, and Abilities Required:

Education: High school diploma or equivalent and advanced secretarial training.

Experience: 4 years of prior related experience with 2 years of experience with the company preferred. Requires working knowledge of commonly used PC applications such as word processing, spreadsheets, and databases.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizational skills, and must be able to work under deadlines.

Other Responsibilities:
