Our client is a top civil engineering and building contractor dedicated to delivering top-notch infrastructure projects across NSW. They specialize in bridge designs, construction, and maintenance, as well as road construction and upgrades. Currently going through a significant growth phase, they are looking for a meticulous and proactive Bid Coordinator to join their energetic team. This full-time office-based position is located in the Hills District, NSW. As the Bid Coordinator, you will have a crucial role in preparing and submitting competitive bids and proposals for civil engineering projects. This position demands strong organizational skills, keen attention to detail, and effective collaboration with the Senior Estimator and Directors to ensure timely and accurate completion of bid documents. Your main goal will be to identify, assign, and drive progress on key activities throughout the bid process, ultimately leading to the creation of top-quality, winning tenders within set deadlines.

Key Responsibilities:

  • Manage the entire bid process from initial inquiry to submission.
  • Assess and interpret bid invitations and requests for proposals (RFPs).
  • Create bid plans and schedules, ensuring all deadlines are met.
  • Collect, organize, and format information needed for bid submission, including technical, commercial, and financial data.
  • Compose and refine bid documents to ensure they meet client requirements and company standards.
  • Conduct thorough quality checks on all bid documents to guarantee accuracy and completeness.
  • Maintain and update bid libraries, templates, and standard documents.
  • Maintain clear and consistent communication with all stakeholders during the bid process.
  • Manage the executive's daily agenda and meetings, including arranging meeting spaces when needed.
  • Create presentations and reports.
  • Coordinate travel plans for Directors.
  • Offer administrative support to projects/services as necessary.
  • Provide general administrative/secretarial support to the Directors.

About you:

  • Minimum of 3 years of bid coordination experience, preferably in the civil engineering or construction sector.
  • Solid grasp of the bidding and tendering process.
  • Outstanding organizational and time management skills, able to handle multiple bids concurrently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and InDesign is vital.
  • Exceptional attention to detail and adept proofreading skills.
  • Excellent written and verbal communication abilities.
  • Capability to work both independently and collaboratively, with a proactive and adaptable approach.
