Supports & Projects Coordinator


The newly created role will coordinate and support critical activities and projects that are required by the Caroline Chisholm Society Board, CEO and Leadership team, including the coordination of grants and funding projects.

Reporting to the CEO, this role is based in Essendon, however, you may also be required to work out of our Caroline Springs premises from time to time.

The role is a full-time contract until June 2024.

For over 50 years we have supported vulnerable children, women, and their families to achieve and maintain a safe and nurturing environment.

In providing support and assistance to pregnant women and parents with young children aged up to 5 years, we work with whole families to support secure attachments, optimise child outcomes through parenting interventions, and prevent and alleviate the impacts of poverty, homelessness, family violence and issues mental health have on parent and child wellbeing.

_About the role_


Reporting to the CEO, this role will coordinate and support activities and projects that are required by the Caroline Chisholm Society Board, CEO and Leadership Team.

You will assist the Corporate Services Coordinator in meeting support and liaising on their behalf with external stakeholders. The role will support the operations of the Board including compliance, policy registers and board papers.


You will also undertake to coordinate projects aligned to the Society's strategic initiatives and operational outcomes and will be required to assist in coordinating the acquittal and reporting on various grant agreements.


This role's key responsibilities include:

  • Executive Support
  • Reporting to the CEO, provide coordination and support for executive projects, events, and external publications to a high standard


Project Support
  • Provide support on projects aligned to the Society's strategic and improvement plans


Board Support
  • Ensure secretariat support to the Board and committees and communicate across all members of the Board
  • Corporate Services Support maintain policy registers, other critical documentation and coordinate quality improvement processes

_About you_
We are passionate about the values and objectives of the Society and are looking for someone who shares them.

We'd love to hear from you if you have:

  • Experience working in a similar role, ideally in the NFP sector
  • Prior experience working with grants and formulating reports for funding bodies as well as having maintained policy registers, compliances and company records as required under legislation
  • Degree qualifications together with a minimum of 2 years experience in proactively supporting CEO's, Boards and/or Executives
  • Are techsavvy and have advanced knowledge of Microsoft Offices suite 36
  • Demonstrated ability to produce high quality written material such as minutes, reports and newsletters
  • Excellent organisational and time management skills, coupled with the proven ability to work effectively and autonomously across a broad range of portfolios
  • Ability to work with sensitive information and maintain confidentiality at all times
  • Advanced interpersonal and communication skills (both written and verbal), including an ability to represent the organisation at a range of events
  • Excellent accuracy and great attention to detail skills as well as having the ability to manage competing priorities
  • Have a confident, compassionate and helpful approach when dealing with a range of people
