About the Role


Our Digital Office Services (DOS) team play a key role in supporting the Firm through their efficient and timely service to deliver, capture and maintain the digital documentation for the Firm.


They are continually looking for ways to ensure they deliver operational enhancements and improvements in the delivery of their services.


Responsibilities

Mailroom

  • Maintain the incoming and outgoing mail tracking system.
  • Ensure accurate records are maintained of all incoming deliveries.
  • Receive, sort, and digitise incoming hardcopy mail and archives and distribute to appropriate recipients electronically and or physically.
  • Upload digital material to iManage.
  • Maintain the archive process ensuring accurate records are kept and routine audits carried out.
  • Facilitate the destruction of material in accordance with the firm's risk policy.
  • Process outgoing mail including DX mail, express post, registered and international mail.
  • Book local, national, and international couriers for the firm using multiple courier platforms.
  • Fortnightly restocking of utility rooms/bays. Place orders as and when required.
  • Order Lander & Rogers branded printed stationery (paper, envelopes etc) when required.
  • Understand manual handling procedures to ensure tasks are executed in accordance with the firm's policies and procedures.
  • Code invoices into Adarent in a timely manner.
  • Ensure all contractors are properly inducted and that they adhere to the Contractor Sign In/Out process. Must keep good records.
  • Issue contractor and staff passes plus staff lanyards.
  • Maintain the thermal comfort items (blankets, fans, and lamps) and process including issuing items, following up with people who haven't returned blankets and arranging for blankets to be dry cleaned.
  • Maintain a safe working environment ensuring OHS standards are followed.
  • Support Facilities initiatives e.g., office churns.
  • Support Facilities function e.g., making sure first aid kits have been restocked, recycling bin emptied, reporting maintenance issues etc.
  • Carry out routine audits.

Reception and Catering

  • Provide daily Reception cover at lunch time and late afternoon, also during leave periods e.g., annual leave.
  • Provide the Catering Supervisor with support as and when required throughout the day e.g. resetting client meeting rooms (moving table and chairs), make coffees, meeting and greeting clients etc.
Complete other business administrational functions as requested by the Facilities & Digital Office Services Supervisor

About You

  • You take joy and pride in providing exceptional customer services.
  • A team player.
  • Previous experience working in a Mailroom and or Office environment within the professional services industry would be highly regarded, but not essential.
  • Experience with digital systems (scanning of documents) and online ordering platforms (including coordination of couriers).
  • Certificate or Diploma in Administration would be highly regarded but not essential.
  • Intermediate Microsoft Office suite skills.
  • Ability to prioritise, time manage and coordinate multiple tasks concurrently.
  • Ability to work in a physically demanding job that includes a lot of walking and manual lifting.
  • Demonstrate a cando attitude where no job is too big or too skill.
  • Ability to thrive in a fastpaced team environment.
  • Barista skills preferred but not essential.
  • Excellent written and verbal communication skills.
