About the Opportunity:

The Personal Assistant to the Deans (Primary) is responsible for providing high-level support to ensure smooth running within the leadership team in our Primary School.

From diary and correspondence management, to acting as the first point of contact for our busy leadership team consisting of three Deans, the ability to flexibly contribute to team-based responsibilities as well as performing tasks independently is paramount for this role.

This full-time role will work Monday to Friday from 8:00am to 4:15pm, with 6 weeks annual leave per year and will be primarily responsible for

  • Contribution to positive, professional, and collaborative work practices for three Deans and the Primary School administrative team at John Paul College.
  • Providing efficient administrative support services including proactive and tactical diary management, scheduling of internal and external meetings while overseeing and guiding team movements.
  • Participate in quality control activities including document review, process management data entry, and information collation.
  • Preparation of correspondence, information, data, reports, with a high level of accuracy and attention to detail to assist with the successful delivery of compliance activities and audits.
  • Collaborate with colleagues, parents, and associates of the College to provide an effective and efficient service to the departments of the faculty and to the wider school community.
  • Promptly and professionally responding to and triaging of incoming correspondence, communications and tasks while using judgement to ensure that deadlines are appropriately prioritised.
  • Comply with health, safety and environment policies, procedures, hazard reporting and safe work practices.

Confidentiality, discretion, and consistent sound judgement are critical attributes for this role.

About You:

As a candidate with prior experience as a Personal Assistant in an educational environment, you will bring a proven track record of offering high-level administrative support and assistance.

You will also be able to demonstrate an exceptional eye for detail with a methodical approach to swiftly organizing tasks and materials in a dynamic setting.

Experience collaborating with internal stakeholders is a plus, with the ability to foster meaningful and harmonious professional relationships with all interactions with colleagues, students, and members of our community.

Our ideal candidate will have recent experience in

  • Delivering excellent communication, problem solving and organisational skills with the proven ability to undertake several concurrent tasks.
  • Planning and co-ordinate projects and tasks, while maintaining compliance with organisational and external policies, processes, and standards.
  • The ability to work independently, being proactive in the execution of duties, while also work as part of a team, towards specific outcomes and goals.
  • A high level of independent judgment and initiative
  • Effective time saving diary management and general management of meeting arrangements.

As this role will operate in an environment where children are present, the successful candidate will be required to hold and maintain a positive notice Blue Card (Working with Children check) prior to the commencement of and for the duration of employment.
