Are you passionate about ensuring procurement compliance is on track and enjoy contributing data and insights into business review processes? We're seeking a dynamic individual to take on the role of Vendor Coordinator, a Full Time permanent position based out of our Melbourne CBD office .
In this role, you'll be responsible for working closely with the Vendor Performance Manager to manage the ongoing performance of vendors in line with the contract, KPIs and compliance requirements.
What You’ll Do:
The Coordinator’s main responsibilities will be working with vendors across areas as diverse as cleaning supplies, technical services and catering) with 3 main focus areas being:
Vendor Performance:
Organise program, help compile performance data and book business reviews across all vendors based on risk assessment Seek feedback from account operations and finance teams to support vendor management In conjunction with Vendor Performance Manager, attend business reviews for vendors to drive compliance and KPI performance Document minutes for Business Reviews and pull together performance improvement plans, where requiredVendor Administration:
Support vendor assurance framework Liaise with ISS operations team to put together contract variations related to change in scope, e.g. branch opening, branch closure Where significant scope changes are required, liaise with Supply Chain & Procurement team to map out variation Be primary person for digitally filing all contract variations and keeping vendor contact details up to date on central platform, e.g. SharepointVendor Support:
Liaise with ISS operations teams to set up Tririga, FFX access Liaise with TP&P team regard PPM schedules Where access issues occur on commercial sites, be an escalation point for access requests.Our Benefits:

As the primary point of contact for vendor communication (verbal, Sharepont, face to face and email) excellent written and verbal communication skills (including strong presentation skills), a “can-do” attitude and the ability to engage with difficult stakeholders and perform conflict management, will set you on the path to success.
The ability to build and maintain good relationships with vendor representatives is key, with an ability to identify opportunities for continuous improvement, helping foster a team environment of openness, transparency, recognition and professionalism, while respecting property, privacy and confidentiality at all times (including staff and supplier information), also required.
Other required attributes and experience include:
Experience managing multi stakeholder engagements to deliver successful outcomes Experience in utilising KPIs or SLAs to manage successful outcomes, particularly with external parties such vendors In depth analysis experience using multiple data sources to drive outcomes Evidence using influencing and negotiation skills to gain stakeholder approval in project execution High level of time management and organisational skills. Able to deal with multiple issues, pressures and deadlines concurrently Flexibility for the completion of urgent projects beyond agreed working hours Willing to complete background/probity check (National Police Check, ASIC – financial services)A strong candidate for the role would also be able to present with tertiary qualifications in a business related discipline, with project management and contract experience in the Facilities Management industry.
