Property Administration Officer

  • $78,455 per annum + super

About the role

The Property Administration Officer is responsible for supporting the day-to-day management of Property related issues raised through the Staff Assist inbox or Facilities Response Centre online system, providing a high level of customer service to all business requirements in Property, Purchasing, Housekeeping & General Staff Enquiries across all WorkSafe Victoria sites.

The Property Administration Officer supports a wide range of service providers and stakeholders (both internal and external) to assist with matters in an efficient and effective manner whilst supporting the Property Coordinator and Property Manager in managing significant projects, tenders, lease and contract negotiations and system improvements.

The Property Administration Officer also supports a range of smaller scale projects and day to day Property operations.

Key accountabilities

  • Build effective working relationships with key internal and external stakeholders
  • Act as central point of contact for queries and scheduling advice for the Property team; provide timely updates, advice and works coordination to employees and a range of building trades, security and cleaning contractors on active work service requests
  • Support and co-ordinate small-scale office refurbishments, ensuring all contractors are inducted and that appropriate documentation and security procedures are in place before works begin
  • Accountable for capturing accurate and complete records for monthly financial accruals, and the review and audit of the usage of assets and resources
  • Any other reasonable and related duties as required to meet the ongoing needs of WorkSafe

About you

We are looking for an enthusiastic and motivated individual who enjoys working as part of a team, and can work effectively in a high pressure environment, with changing and competing demands. You will also have;

  • Excellent time management and organisational skills, including the ability to meet set timeframes and prioritise work
  • Demonstrated experience providing administrative support in an environment of internal and external stakeholder pressures and ad-hoc tasks
  • Well-developed interpersonal skills, including good verbal and written communication, along with the ability to develop positive relationships
  • Experience in maintaining office support systems and procedures and the ability to suggest changes to improve effectiveness.
  • Demonstrated initiative, tact and judgement when working as part of a team or with limited guidance
  • Strong computer skills in Microsoft Office applications.
  • Experience in and knowledge of, contract and lease management and the aptitude to develop strong negotiation skills, particularly in relation to commercial lease & contract terms & conditions is desirable.
