FRONT OF HOUSE COORDINATOR
 

We are looking for a Front of House Coordinator to join our bustling Experience Team, in our stunning office located in Southbank/South Melbourne (Right near the iconic South Melbourne market)

PURPOSE OF THE ROLE

The Front of House Experience Coordinator role is key to the success of the business, by maintaining our space and welcoming visitors, to enable smooth running of the day to day. You will be supporting the Experience Manager in our office space. This role involves routine work as well as assistance with the ebb and flow of the agency’s demands.

Alongside the other members of the Experience Team in your location you will be responsible for ensuring that the overall operation of the office is at the highest standard for both visitors and our people with everything they need to do a great job.

This role is a part time role, 0.6 FTE (3 days per week), predominantly Monday, Tuesday and Thursday to reflect the demands of the business.

KEY RESPONSIBILITIES & EXPECTATIONS

Employee Experience

Support Experience Team in creating an upbeat environment in the office and create a warm welcome when they come in Keep amenities stocked Contribute to the organisation and execution of events Maintain access card database and liaise with IT to update access cards

Vistor Experience

Meet & greet all external visitors with warmth and professionalism Build relationships with regular visitors Help visitors sign in to the Visitor Management System Ensure that front of house is always immaculate and inviting Liaise with agency teams to coordinate welcoming and escorting their visitors Maintain car park bookings, including external visitors and internal conflict with the car parks

Office security

Ensure the office is open at suitable business hours Be second point of call for any security concerns Maintain access card database and liaise with IT to update access cards

Stock Control

Maintain stock levels of refreshments across floors in kitchen breakout, tea stations, coffee machine areas, snack cupboards Conduct weekly inventory of office supplies, groceries and drinks and ordering with suppliers as needed  Ensure hygiene items, masks, sanitisers, and tissues are stocked up across floors daily Maintain all shared print areas and utilities are well stocked, organised and replenished to a high standard Respond to staff stationery and print requests Organise weekly milk and bread deliveries, monitoring all ‘use-by’ or ‘best before’ dates and exchanging when required Ensure bathroom hygiene products are maintained

Couriers & mail service

Collect and distribute any mail or packages to staff on floor from reception daily Distribute any mail from employees to mail out area Arrange any couriers for collection

Presentation of Meetings rooms

Responsible for the presentation standards of the shared meeting rooms Ensure water, drinks and refreshments are available for guests as requested Ensure all rooms are AV ready for meeting rooms & resolve any IT issues

Facilities Management

Report unserviceable equipment and maintenance issues Ensure all drinks, breakfast items & cutlery/crockery are stocked well and always available Escalate any maintenance issues on floor and arrange/find suitable solutions

Cleaning services

Ensure toilets and kitchen areas are at a consistently high cleaning standard Ensure the cleaning standards of the kitchen breakout areas are of a consistently high standard Resolve any day to day cleaning issues with cleaners

Events

Assist with set up of events and liaise with other Experience Team members when needed.

Communication

Respond to requests for couriers and assist when needed.

HSE responsibilities

Identifying and resolving any building issues that do not meet HSE standards Supporting Sustainability measures in the office as required Facilitating required HSE Inspections Undertaking Fire Warden training Senior First Aider (training provided) Ensuring the first aid kit is accessible, stocked, and available to our people

Your experience

Experience working in a customer service-related role: e.g., reception, office assistant, hospitality, retail, airlines, hotels will be highly regarded Desirable:Understanding of Microsoft OfficeSenior First Aid
