Airdrie House (Corporate Office)
located in Canterbury, is currently seeking an experienced Office Coordinator / Admini Assistant. This full-time, on-site role requires working in the office 5 days per week to effectively manage the customer interface and ensure smooth daily operations.

 
About the role:

The Office Coordinator / Admin Assistant provides overall co-ordination of the Corporate Office to ensure a pleasant and efficient working environment is created and maintained.

The role also provides administration assistance to the Chief Executive Officer and the Executive Team.  

Some of the duties you will be performing are:

  • Ensure the Corporate Office operates efficiently, effectively, and harmoniously.
  • Develop and maintain a strong knowledge of all office services, fixtures, fittings, and equipment.
  • Provide administration support to the CEO, including: preparing Board papers, meeting documentation, and taking meeting minutes as required.
  • Manage travel and conference bookings.
  • Order and manage office supplies within delegated limits.
  • Provide support in managing rental properties.
  • Oversee fleet management.
  • Respond to site MFB notices and manage Fire Wardens.
  • Maintain group registers of contracts, CCTV applications, and passwords.
  • Coordinate event purchases and arrangements, such as monthly awards morning teas.

About you

  • Proven experience in coordinating an office environment.
  • Experience in providing administrative assistance to a multi-disciplinary team.
  • High proficiency in Microsoft Office software, business systems, and internet-based applications.
  • Ability to interpret and implement policies and procedures, with a proactive approach to suggesting improvements.
  • Excellent written and verbal communication skills, with a keen understanding of confidentiality and privacy in a service-based organization.
  • Experience assisting in the preparation of Board Meeting Papers.
  • Previous experience in a similar role.
