The opportunity

Reporting to the National Fleet Lead and working with our outsourced fleet service provider, the Fleet Administration Officer will be responsible for supporting the daily fleet administration processes for the Silverchain Group of companies, nationally. This includes the day to day management of all operational fleet related issues.

The Fleet Administration Officer must foster a culture of safety and cost consciousness through open and regular lines of communication with key stakeholders within the Silverchain Group. Building good relationships with stakeholders is key to this role.

The role is being offered on a permanent full-time basis. Silverchain’s head office is based in Osborne Park and there is parking available for staff. The office is also closely located to Glendalough train station

Key responsibilities

The major accountabilities of this position are below:

  • You will come with a practical understanding or interest in fleet administration.
  • Assisting in the collaboration of data on fleet issues and requirements and provide input to deliver creative solutions.
  • Monitor and maintain fleet documentation to ensure information is up-to date and is easily retrievable in electronic format.
  • Assist in the administration and coordination of the Group’s fleet vehicles and support the relationship with the Fleet Management Company (FMO).
  • Coordinating vehicle ordering, delivery and changeover, maintenance, operational activities, reporting and minor works across the Group in conjunction with the Fleet Management Company (FMO) as applicable.
  • Coordinating insurance claim processes to reduce financial impact and make the most economical recovery decision.
  • Maintenance and integrity of the supplier database, processes and systems.
  • Support the National Fleet Lead to prepare internal vehicle budgets and forecasts.
  • Manage the day-to-day external vehicle and fleet management relationships.
  • Support the implementation of sustainability initiatives.

About you

To be successful in this role, your previous skills and experience will match up with the below requirements:

  • Previous experience with supply chain and/or fleet operations.
  • Excellent interpersonal and communication skills to effectively consult with stakeholders and all levels of staff.
  • Strong computer literacy skills.
  • Outstanding time management and organisational abilities to effectively plan and prioritise work tasks.
  • Ability to work autonomously with minimal direction to support standard procedures and support internal client needs.
  • A focus on integrity of information - including the ability to critically analyse data, evaluate relevance and identify discrepancies/inconsistencies.
  • Demonstrate reliability, flexibility and resilience in balancing changing and competing priorities, identifying critical actions and achieving goals in a challenging environment.
