Associate Event Project Manager (APAC) at SpotMe

SpotMe is a leading B2B event platform that helps enterprises increase the impact of their events by delivering CRM-connected, high-quality experiences across in-person, virtual, hybrid events, and webinars. With a focus on life sciences, SpotMe powers Onomi: an HCP engagement product that enables medical and commercial teams to run impactful congresses, symposia, advisory boards, and webinars. Together, SpotMe and Onomi turn events into a company's most effective engagement channel.
The role focuses on delivering end-to-end event projects for a range of Life Science, Professional Services, and other Enterprise clients using SpotMe/Onomi solutions across in-person, remote, and hybrid formats.
Responsibilities and expectations
Independently build, configure and launch web and mobile native event apps using SpotMe Backstage (approximately 35% of time).
Professionally manage clients and senior stakeholders with clear, timely communications to enhance the client experience across the entire project lifecycle (approximately 20%).
Coordinate with vendors, internal departments, and customers around live event day execution to ensure seamless delivery (approximately 20%).
Oversee speakers and event operations to ensure smooth delivery whether presenting in person or virtually (approximately 20%).
Handle post-event communications, analyze event data, and deliver reports with insights and recommendations (approximately 5%).
Objectives – The Problems You Will Solve
You will onboard to the company, learn systems and processes, be introduced to the team, and hit the ground running.
In your first month, you will:
Learn Backstage by getting certified with SpotMe Academy and begin building platforms with your line manager.
Get trained on how we deliver projects at SpotMe/Onomi by shadowing colleagues across project stages: Onboarding, Workspace Build, Registration & App Launch, Live Event, and Offboarding.
Participate in virtual or onsite events to train on live engagement capabilities and onsite logistics as schedules permit.
After 3 months you have:
Led your first event as Project Lead, managed Kick Off calls with timely client communication, and demonstrated technical understanding of event requirements.
Built your first new event in Backstage with supervision, ensuring quality follow-up emails and error-free email configurations during reviews.
Delivered at least live event days as Project Lead or Onsite Coordinator and maintained customer satisfaction metrics.
Completed all assigned onsite deployments with positive customer feedback.
After 6 months you have:
Delivered multiple live events (virtual and onsite) while maintaining high customer experience metrics.
Built existing and new events in Backstage with minimal supervision and high-quality follow-up communications.
Received positive customer feedback for contributions to successful event delivery and outcomes.
Defined live event days as days allocated for remote or onsite delivery as part of longer events.
What you need to be great at
End-to-end event ownership: experience leading corporate internal and external B2B events (webinars, conferences, trade shows, product launches) with speed and precision, especially in life sciences.
Cross-functional coordination with operational clarity: work smoothly across agencies, AV partners, venues, and internal teams with clear timelines.
Technical dexterity in event platforms: independently configure Backstage, manage registration, content, and streaming workflows, and collaborate with technical teams as needed.
Flawless execution under pressure: adapt to changes and solve problems in real time to preserve quality of the experience.
Time and risk management: manage multiple events, anticipate blockers, and deliver on time across formats and scales.
Bonus: industry or data depth in life sciences helps understanding roles, priorities, and expectations.
