Job Description
**Your role**
As the Membership Officer, you will be responsible for providing proficient and professional administrative services within your department or area of operation. Working under general guidance and within set guidelines, you will be required to undertake a range of administrative tasks, assist senior employees with specific projects as directed and provide administration support to administration employees and volunteers.
A key focus of this role is to ensure the provision of timely and accurate customer-centred support which enables the Society to efficiently achieve desired outcomes across business operations.
**Key responsibilities**:
- Deliver administrative support services in a professional and timely manner as directed within your department/area of operation.
- Admin support to General Manager Membership and Director of Mission as required.
- Support Member enquiries, ensuring appropriate delegation, support and guidance is provided to efficiently achieve outcomes.
- Provision of financial support including processing of invoices, credit card management, financial reconciliations and maintenance of financial records.
- Management of required database/s including data entry and oversight of data accuracy and associated compliance requirements.
- Review and contribute to the relevance of established processes, ensuring administrative procedures are updated to enable efficient and timely delivery of services.
- Preparation and distribution of adhoc or regular reports as directed.
- Oversee administrative duties relating to Overseas Partnership Program and Twinning.
- General administrative support services including resourcing, filing, scanning, photocopying, management of supply stock and ordering, travel and accommodation arrangements.
- Associated administrative meeting and organisation support tasks including room bookings, calendar management, meeting minutes and catering.
- Undertake project work as required to support the Membership and Developement team, Membership Advisory Committee, Director of Mission, and broader department/area of operation.
- Support a culture of safety, operational excellence and continuous improvement throughout the operations, with demonstrated year on year improvements in all areas.
- Undertake other duties, which are assigned from time to time by your Manager.
- Comply with their WHS duties and responsibilities in accordance with the document WHS Directive: WHS Roles and Responsibilities (up to and including "Supervisors / Managers") and the WHS Act 2011.
- In all duties, comply with the behavioural expectations set out in the St Vincent de Paul Society Queensland Code of Conduct, and our policies and procedures.
Desired Skills and Experience
**Qualifications and experience**
- Minimum Certificate III in Business Administration or equivalent professional experience.
- Previous experience in a high-volume administration support role.
- Previous experience in the management and support of staff and/or volunteers.
- Microsoft Office suite proficiency with advanced aptitude in Word, Outlook and Excel.
- Exemplary phone manner and a professional attitude which promotes SVdP's core values.
- Ability to work with a diverse range of key stakeholders.
- Personal aptitude for attention to detail and data accuracy.
- Understanding of and commitment to the philosophy of the St Vincent de Paul Society Queensland and an ability to work in accordance with policies and procedures to promote the values and mission of the Society.
