- Answer all incoming calls, re-direct to the appropriate person, handle caller inquiries and take adequate messages when required
- Greeting and assisting clients, customers and subcontractors
- Receive, open, date stamp, sort and distribute all mail and deliveries
- Processing mail, data entry and filing duties
- Coordinate and manage travel bookings for Client staff
- Ordering stationary, catering and kitchen supplies for office
- Prepare and organise meeting rooms before and after bookings, and maintain other shared office spaces throughout the day
- Support project team with operation of Microsoft Word and M-Files document management system, including assistance with day-to-day issues and expediting where needed
- Ensure document quality standards are met prior to issue of deliverables, including review and correction of documents, maintenance of document templates and formatting of content.
- Conduct on boarding training for new team members in OH&S, M-Files, project procedures and related topics
- Manage transmittal of project documents to Clients and 3rd Parties
- Receive, upload and distribute 3rd party documents and comments to documents
- Assist in compiling, reviewing and finalising project progress reports, cost reports and other documents
- Assist in the preparation of project records, registers and status reports as needed
- Assist in preparation of internal company documents and presentations
- Assist in management of the quality management system and related processes for the project team
- Assist in the development of marketing and communication materials for the project
