**Broad Purpose**
The Reception & Admin Assistant is responsible for reception duties and providing a range of high-quality administrative services and support to Senior Management.
**Please Note**: due to the reception responsibilities of this position, this role is based in our office 5 days per week, Monday to Friday.
**Core Responsibilities**
- Receive and screen visitors, field telephone calls, take messages and re-directs calls.
- Assist with the employee onboarding and offboarding process, including arranging home office packages for remote staff and desk setup for local staff.
- Maintain the appropriate office registers (Building Access Cards and Keys).
- Support and coordinate the booking of meeting rooms, client visits and catering.
- Organise company and employee events.
- Maintain supplies by checking stock to determine inventory level - anticipate the need for supplies, place orders and verify receipt of supplies.
- Manage visitor and contractor sign-in register.
- Ensure all office amenities are maintained to a high standard including upkeep of kitchen facilities.
- Receive, sort, and distribute mail and arrange couriers.
- Provide communication to all employees regarding building related matters.
- Support all Avance Clinical office locations as requested in conjunction with a local office representative.
- Book travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations as required.
- Providing Administrative support to the HR Team as required for example, supporting HR projects, scheduling interviews etc.
- General administrative duties as required including photocopying, binding, etc.
- Other duties as directed by Line Management or delegate in line with skills, experience and/or qualifications.
**Qualifications, Skills and Experience**
- Minimum 12 months administrative and / or reception experience.
- Proficient knowledge of the MS Office suite.
- Excellent time management skills and the ability to prioritise work.
- Proven ability to deliver tasks on time and with a high degree of accuracy.
- Experience in building and maintaining positive relationships with clients, senior management, and other departments.
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Ability to work independently or in a team environment as needed.
