**About the Role**
The Executive Team Assistant provides high-level administrative support to the executive leadership team. This role is responsible for managing the schedules, travel arrangements, and various administrative duties for the executive team, as well as organising quarterly leadership team events and coordinating with the operations team to deliver on initiatives. The Executive Team Assistant acts as a liaison between the executives and internal/external stakeholders, ensuring efficient and effective communication. This position requires exceptional organisational skills, discretion, and the ability to handle sensitive information with the utmost care.

**This role is a hybrid role based in Sydney, with 2 to 3 days per week expected in the office.**

**Your Expereince**
- Experience working closely with the Executive Director to manage their diary, as well as assist with day to day administrative tasks.
- Experience managing the wider executive leadership team's calendars, scheduling meetings, conferences, and travel arrangements as required.
- Experience organising and coordinating quarterly leadership team events, including managing logistics, catering, and communications.
- Experience preparing agendas, taking meeting minutes, and distribute materials for executive team updates and board meetings.
- Preparing comprehensive board reports and presentations as needed.
- Experience collaborating with the operations team to ensure seamless communication and coordination for various initiatives.
- Experience assisting with travel bookings for the wider business as required.
- Expereince managing expense reconciliation for the executive team.
- Experience performing general administrative tasks, such as drafting correspondence, filing, and organising documents.
- Experience maintaining confidentiality and discretion when handling sensitive information.
- Experience assisting with special projects and ad-hoc tasks as needed.
- Deliver exceptional customer service to internal and external stakeholders.
- Experience providing support to the Office function as required.
- Ability to work independently and as part of a team.
- Exceptional organisational and time management skills.
- Strong communication and interpersonal skills.
- Excellent attention to detail and problem-solving skills.
- Experience in a fast-paced, dynamic environment preferred.

**Qualifications/ Education**
- Minimum 4 years of experience in an executive-level administrative support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to maintain confidentiality and discretion.
