We are seeking an experienced and proactive Facilities Coordinator to manage a diverse portfolio of up to 250 client sites.Key Responsibilities:Reporting to the Account Manager or Facilities Manager, the Facilities Coordinator is responsible for an assigned portfolio of client properties.Support and assist the Facilities Manager as required to complete all duties.The properties under management can range up to 250 sites depending on type and size.Serve as the initial and critical point of contact for all reactive maintenance works, 24/7.Manage and communicate critical incidents and recovery plans to stakeholders.Maintain a high-quality facility through diligent reviews of all maintenance activities, including audits and vendor performance meetings for reactive and programmed works.Attend regular team, partner, and stakeholder meetings with a focus on 'Service Excellence'.
Interface between the Landlord and the client business operationally, including attending LL meetings and reporting as required.Monitor and assess completed sub-contractor works to ensure they meet SLA and compliance standards.Establish, maintain, and manage the asset lifecycle plan for all plant and equipment, ensuring the Asset Register remains up-to-date.Induct contractors and ensure all compliance, legislative requirements are met and maintained.Focus on innovation and continuous improvement of processes and services.Develop an annual budget for sites, including reforecasts for investments and maintenance, both reactive and planned.Monitor system transactions and documentation to ensure data integrity and KPI achievement.Assist with audits, including spot-checks of transactions and documentation for data integrity and compliance.Leverage technology to enhance performance and processes.Keep process documentation current and maintain database and filing systems.Approve invoices, reconcile reactive maintenance invoices, and manage invoice exceptions.Support Facilities Manager with financial administration, reporting, and P&L statements.Provide relief and support to peers as needed.Represent the business professionally at negotiations, conferences, and events.Comply with all health, safety, and environmental policies and procedures.Operate in an environmentally responsible manner.Prepare and submit detailed business cases when required.Build and maintain effective relationships with internal teams and external service providers.Promote a 'one team' culture.Manage Work Orders efficiently within 30 days.Perform any other duties reasonably required to fulfill the role.Background and ExperienceCareer aspirations within Facilities Management.Experience across a broad range of property activities.Strong client focus and customer service skills.Ability to follow client instructions and achieve results.Ability to work independently and collaboratively.Proven track record of meeting or exceeding KPIs.QualificationsAustralian Citizenship.Currently based in Canberra.Willing to work onsite 5 days a week.Must hold or be willing to obtain Australian Government Security Clearance.Why join Cushman & Wakefield?
