**Position Summary**
- The roles of Business Support Officer supports the Manager in establishing, monitoring and reporting of administrative and management systems and processes for the Department.
- You will provide high level administrative support, ensuring the effective and efficient delivery of departmental objectives, targets and key performance measures, in line with Council's planning framework and annual business plan.
- The role will also ensure that a customer focused service is provided to Council, the community and employees at all times.
**Position - Responsibilities**
- Maintain and update information systems
- Assist in reviewing administration systems to ensure there is continuous improvement in administration practices
- Assist with the management of appointments and bookings
- Ensure prompt collection and distribution of correspondence
- Diary and office management
- Assist with maintaining Key Registers
- Accurately enter and retrieve data
- Maintenance of records
- Coordinate stationery and supply orders
- Invoicing as required
- Record and distribute meeting minutes
- Follow-up action items arising from various meetings
- Assist in the organisation and management of functions and meetings, including:
- Meeting correspondence
- Book Attendees
- Provide reliable, efficient and effective telephone and reception support
- Screen and take accurate details of the phone calls and enquiries and direct to appropriate officers.
- Develop effective customer relationships
- Process and resolve customer complaints
- Promote the council and its values
- liaise with internal & external customers, providing accurate and quality information and advice
**Knowledge and Skills**
- A sound understanding of customer service standards
- Proficient in the maintenance and development of computerised and manual information systems
- Knowledge of invoicing and financial reporting
- Knowledge of budgets and Service delivery plans
- Basic business writing skills
- Developed office management skills including the ability to use and initiate recommendations to the office systems.
- An understanding of the principles associated with monitoring, reviewing and reporting actual performance against programmed outputs.
- Knowledge of Local Government systems, processes and objectives is desirable
- Post year 12 qualifications in business management, office administration or similar, or significant demonstrable "on the job" experience in a similar role.
- Relevant experience in a customer service-focused industry.
- National police check
