POSITION SUMMARY STATEMENT (defines the major functions/purpose of the position)
Responsible for managing events from concept to completion and ensuring deadlines and budgets are adhered to.
DETAILED RESPONSIBILITIES/DUTIES:
Responsible for producing detailed proposals for events that include; Approvals, venues, suppliers, project plans, staff, communications plans, etc.
Develop and produce designated event projects from proposal to delivery, managing all operational and administrative functions to ensure event projects are delivered efficiently.
Ensure event approvals are submitted at least 90 days prior to the event.
Generate paperwork, including Purchase Requests well in advance to exceed payment timing requirements. Agree to and manage the event budget.
Source and secure suitable vendors for events. Adhere to competitive bidding policies and source enough quotes to ensure cost-effectiveness.
Ensure insurance, legal, health and safety obligations are adhered to for all events.
Effective contract review of suppliers and negotiate all terms with suppliers not in favour of Herbalife Nutrition.
Coordinate briefing manuals for special guest speakers and ascertain accurate requirements of the guest speaker including organizing itinerary, types of accommodation, flight class, requirements for the room, requirements for backstage, etc.
Coordinate staff requirements, briefing documents and staff briefing meetings to ensure staff are adequately prepared for the event.
Liaise with other departments to ensure event requirements of other departments are also delivered.
Create a communication plan for all events, including Post Promotion of the event. Coordinate with Graphics Designer and Communication specialist to promote the event effectively. Liaise with internal staff and external suppliers to organise the production of flyers, social media postings, EDM, banners, etc.
Review and update the event calendar constantly depending on the needs of the business.
Qualifications
Skills/Education/Experience:
College or University education desired, but not essential
Computer skills – MS office, excel, power point, word, e-mail, Internet, Adobe
Excellent customer service background
Sound Knowledge of the Direct Selling Industry is preferred
Excellent Event/Project Management skills essential
Exceptional Time management skills essential
Budgeting experience & knowledge essential
Must be an effective & professional team member
Required to work as part of an International team at all levels
Ability to multi-task but still attend to detail and focus on important issues
Positive & professional attitude, customer service orientated
Extremely reliable and trustworthy
Must be prepared to travel both domestically & internationally throughout the year
