About the role
Reporting to and supporting the Regional Director of Operations, this role is responsible for coordinating and managing projects, implementing process improvements, and ensuring efficient operational support across facilities, workplace health and safety (WHS), communications, uniforms, policies, events, transport, procurement, help desk and customer enquiries.
This role is integral to maintaining operational efficiency, ensuring compliance with OneSchool Global's standards, and fostering collaboration between internal and external stakeholders.
What you'll be doing
Project Coordination & Strategic Support
- Assist the Regional Director of Operations in delivering key operational initiatives.
- Plan, coordinate, and manage projects to ensure timely completion and alignment with strategic objectives.
- Develop and implement standardised processes to enhance efficiency across operational functions.

Leadership & Stakeholder Engagement
- Act as a key point of contact for operational matters, liaising with internal and external stakeholders, including Regional Boards, Management Teams, school staff, volunteers, external service providers and parents.
- Guide, mentor, and provide training to team members to ensure effective administrative support.

Facilities & Event Management
- Coordinate global and regional facilities related projects, including maintenance schedules, campus improvements, system updates and process improvements.
- Plan and execute regional events, ensuring seamless logistics and operational efficiency.

Uniforms & Procurement
- Collaborate with campus teams to maintain uniform standards that align with global guidelines.
- Gather and communicate feedback from the school community to improve service quality.
- Assist in procurement processes, supplier management, and order coordination.

Workplace Health & Safety (WHS) & Risk Management
- Support the implementation and maintenance of WHS policies and risk platforms.
- Monitor compliance with safety regulations and coordinate WHS training initiatives.
- Ensure proper documentation and reporting of WHS incidents and improvements.

Communications & Digital Platforms
- Support regional communication efforts, ensuring information is effectively shared across teams.
- Assist with technical platform support, integration and enhancement of digital tools and apps.
- Maintain updates, policies, and announcements across platforms such as SharePoint library.
- Provide technical support and design input to maintain key global and regional platforms i.e. SharePoint Hub, OnePortal, DoneSafe etc.

Transport & Asset Management
- Assist in implementing and improving student transport processes, to ensure policy compliance.
- Support fleet management by tracking maintenance, safety audits, and operational reporting.

Campus Security & Compliance
- Collaborate with leadership teams to maintain safe and secure regional campuses.
- Monitor security infrastructure, including fencing, CCTV, and access control systems.
- Ensure campus security measures align with global policy standards.

Regional Operations and Support Functions
- Maintain regional support functions including helpdesk, phone systems, non-IT support and administrative services.
- Act as the main point of contact for RSO-related queries and support needs.
- Maintain regional initiatives such as Connected Memberships, staff uniform allocations and campus canteen projects.

Privacy & Data Compliance
- Support the Regional Director of Operations in managing regional privacy compliance and adherence to regulations.
- Assist the Regional Privacy Officer in implementing data protection policies and training initiatives.

About You
- Proven experience in project coordination, operations, or administration.
- Strong background in supporting leaders and managing operational functions.
- Proven ability to implement process improvements and drive efficiencies.
- Experience in an educational, non-profit, or corporate environment would be beneficial.
- Familiarity with WHS, compliance, and risk management frameworks.
- Formal qualifications in Business Administration, Project Management, or a related field would be highly beneficial.
