About Role
As a result of our continuous growth, a new position has been created for an experiencedSubmissions / Bid Coordinatorto join our vibrant team.
In this role you will be working closely with our internal stakeholders in a fast-paced environment to coordinate and manage the preparation of quality submissions from inception to completion.
This is an opportunity to combine your excellent technical communication and administrative skills with marketing and design flair.
You will leverage these skills to create compelling proposals that showcase ACE's project experience and align with our company values, targeting tender content to suit both Private and Government clients.
Key Responsibilities
Reviewing RFQ documents to ensure submission requirements are clearly understood
Participating in tender meetings and monitoring progress of bid deliverables
Managing multiple concurrent submissions and effectively prioritising deadlines
Writing compelling response content that is well structured, persuasive and tailored to client requirements
Graphic design and page layout using Adobe Creative Suite (advanced InDesign experience is preferred)
Liaising with internal stakeholders and subject matter experts to gather relevant technical responses, and editing these responses for content and clarity
Ensuring submissions are accurate and comply with client requirements, including review of formatting and spelling
Maintaining bid content libraries including project case studies, CVs, image library and client feedback database
Implementing and maintaining style guides and templates
Preparation of industry award submissions
Experience / Skills Required
Minimum 3-5 years of experience in a Bid/Submissions/Proposals role (Construction or Engineering industry experience preferred)
Experience working in defence tenders is desirable but not essential for the role.
Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign) to create visually compelling submissions
Intermediate to advanced skills in Microsoft Office suite, with a focus on Word and PowerPoint formatting
Sound understanding of tender/bid processes
Strong attention to detail
Excellent written and verbal communication skills – ability to translate technical information into clear, compelling proposals
Excellent coordination and time management skills – ability to work under pressure to strict deadlines, prioritizing tasks and coordinating others to ensure deadlines are met
Ability to work closely with staff at all levels – experience engaging with stakeholders and developing professional, productive working relationships
Ability to work autonomously and in a team environment
Ability to demonstrate initiative and problem-solving skills
Influencing and negotiation skills
