This Division is seeking a highly motivated Senior Secretariat and Project Officer to join its Secretariat team. This role reports to the Manager, Secretariat, and provides high-level secretariat and strategic support for the Board, its Committees and advisory/working groups, and also leads on or contibutes to key projects and initiatives that support successful training outcomes for educationally disadvantaged adults in Victoria.

In carrying out their role, the Senior Secretariat and Project Officer is expected to:

- Provide secretariat support for the Board, its Committees and advisory/working groups including: preparation of agendas, action lists, and minutes; and maintenance of the Secretariat Unit's system accounts and calendar, ensuring calendar invitations and formal correspondence are issued correctly.
- Provide research and advice that supports Board governance and legislative obligations, including preparation of the Board Annual Report, compliance with Standing.
- Policy development, including maintaining the Board's policy register and providing expert advice to the Board and its Audit and Risk Committee on relevant department policies and procedures and, where necessary, adapting these to the needs of the Board and its Committees.
- Oversee junior staff within the unit to ensure written communications (such as minutes, agendas and Board/Committee papers) are produced across the Division within timelines and adhere to style guidance, formatting requirements and records management protocols.
- Develop and maintain internal stakeholder relationships through effective communication, negotiation and issues management to ensure deliverables are met on time and to a high quality.
- Manage key projects in line with established plans, budgets, timeframes, policy objectives and other priorities.

The position is full time, ongoing, and based in Melbourne CBD. From time to time, travel within Victoria necessitating overnight stays may be required. This is an excellent opportunity to extend your skills and further develop your career.

The role requires excellent communication skills; expertise in complex brief writing to both internal and external stakeholders; problem solving and critical thinking skills; strong organisational, time management and multitasking skills. Experience in audit and risk, minute taking for Boards and governance/legislation would be an advantage.
