**What will you be doing?**

The Project Administrator will support the clinic's operational and strategic projects, ensuring smooth execution and coordination of initiatives aimed at improving the clinic's services, patient care, and organizational development. This role will manage project timelines, resources, and deliverables while ensuring effective communication between internal teams and external stakeholders.

**Duties & Responsibilities**:

- Collaborate with clinic leadership to define project goals, objectives, and scope, particularly for allied health-related projects like service expansions, research initiatives, or new programs.
- Develop and maintain project plans, including timelines, resource allocation, and deliverables, ensuring timely execution.
- Coordinate between clinical, administrative, and external teams to ensure smooth collaboration and progress.
- Facilitate communication between clinicians, administrative staff, clients (when applicable), and external partners.
- Organize and lead project meetings to update team members on progress, scope changes, and timelines.
- Provide regular updates to the project manager and clinic leadership on the project status.
- Assist in preparing and managing project budgets to ensure resources are allocated efficiently.
- Track expenses, procure materials/services, and ensure proper resource usage aligned with project objectives.
- Maintain and update comprehensive project documentation, including project charters, timelines, meeting minutes, and status reports.
- Ensure compliance with legal and clinic standards in documenting healthcare-related projects.
- Prepare performance and outcome reports for internal and external use.
- Ensure all projects comply with healthcare regulations, ethical standards, and The Mind & Behaviour Clinic's policies.
- Monitor project activities for adherence to best practices in healthcare service delivery.
- Identify potential risks that may impact patient care or clinical operations.
- Develop mitigation strategies and escalate issues to clinic leadership when necessary.
- Identify and drive opportunities for process improvement to enhance clinic operations and clinical outcomes.
