Geelong Neuro Centre is a progressive and inspiring Neurological Allied Health clinic, and we're on the lookout for a proactive and process-driven Referral & Intake Manager to join our team.

The Referral and Intake Manager plays a pivotal role in the growth and performance of our neurological rehabilitation clinic. This role is responsible for managing the referral and intake process, liaising with referrers and clients, supporting allied health team workfl ows, and ensuring optimal productivity and calendar utilisation. Working at the intersection of client care and business operations, this position ensures our long-term clients receive an outstanding experience while enabling therapists to work effectively and sustainably.

**The Opportunity**

- Clinic-based role in Belmont, Victoria

**Key Responsibilities**:
**Referral & Intake Management**
- Receive, triage, and manage incoming referrals quickly and professionally ensuring referrals are allocated and booked in within 30mins of receiving the referral
- Match clients with appropriate therapists based on clinical needs, therapist capacity, and service area
- Liaise with referring professionals and agencies to ensure seamless onboarding
- Maintain accurate and up-to-date referral records for accountability and transparency

**Client & Referrer Liaison**
- Be the fi rst point of contact for complex or high-priority referrals
- Build strong, trusting relationships with referrers and stakeholders
- Champion a client-fi rst approach—ensuring that every new client receives timely, professional, and compassionate service
- Gather and act on feedback to continuously improve the onboarding experience

**Operations, Scheduling & Diary Effi ciencies**
- Monitor therapist capacity and support effective diary utilisation
- Maintain calendar effi ciencies—reducing gaps, improving fl ow, and protecting therapy time
- Proactively adjust scheduling based on changes in client availability or therapist workload
- Collaborate with leadership on workfl ow improvements and operational strategy
