**JOB DESCRIPTION**:
As a Project Assistant, you will be tasked with providing business, operational, and administrative support to the EHS Support team, focusing on the Australian Service Line Operations.
A core function of the Project Assistant role is leveraging our various communication methods to build strong relationships with the internal team within a virtual environment.
Specific responsibilities include:
Project Support (estimated 60% of your time)- Editing and formatting documents using the EHS Support style guide and templates to ensure consistency and quality in client deliverables. Tasks include:
- Covert documents to PDFs with bookmarks, including tables, figures, and appendices.
- Assisting Project Managers with project deliverable schedules, administration and data entry activities.
- Collating and communicating financial project performance with project directors (training provided).
- Service Line Administration (estimated at 20% of your time)
- Managing subscriptions to procurement systems including ISN and Avetta (training provided).
- Updating and managing information on the service line OneNote and SharePoint sites.
- Managing insurance documentation.
- Collating monthly health-and-safety data for client reporting.
- Assisting human resources with staff onboarding tasks.
- Assisting the health-and-safety team with document formatting and document control.
- Performing ad hoc duties and research to assist the operations team.
- Business Development Support (estimated 20% of your time)
- Assisting peers with marketing and business development initiatives including proposal formatting, newsletter development, website updates and analytics.
- Preparing, updating and collating proposal material including HSE, EMS, QMS documentation.
**POSITION REQUIREMENTS**:
- Proficiency with Microsoft Office 365, OneNote and SharePoint is essential.
- Experience in document formatting and an eye for design/presentation.
- Tech-savvy with an ability to learn new software, processes, and platforms.
- Ability to work independently and prioritise tasks appropriately.
Prior project support experience for environmental and remediation projects is highly desirable.
