**About the Role**

This role provides high-level administrative support to the Admissions Coordinator across residential aged care and independent living services. It involves managing client data, coordinating admissions and discharges, preparing financial and legal documentation, and ensuring compliance with regulatory standards. The position also supports marketing efforts, maintains strong stakeholder relationships, and confidently steps into the Coordinator's role when required.

**Key Responsibilities**
- Maintain accurate client databases and resident records
- Prepare resident agreements, invoices, and government subsidy claims
- Support all stages of the admissions process, including enquiries, tours, and welcome procedures
- Manage transitions from respite to permanent care and maintain waiting lists
- Assist with financial quoting and ensure clear communication of service and fee structures
- Liaise with residents, families, solicitors, and community stakeholders
- Ensure concessional entitlements are lodged and processed
- Provide backup support for reception and archiving tasks
- Demonstrate open, respectful, and effective communication with all stakeholders
- Collaborate with internal teams and external health providers to support resident outcomes
- Identify and report risks promptly to the Direct Manager
- Actively participate in meetings and contribute to team discussions

- Proven ability to effectively communicate with all relevant stakeholders.
- High level of empathy and patience when dealing with elderly and vulnerable people and their families.
- Proven experience in roles that require maintaining confidentiality.
- High level of personal motivation, initiative, and integrity.
- Excellent time management skills.
- Professional telephone manner, demonstrating a caring, friendly manner.
- Responsive to issues and concerns raised and follow-up in a timely manner.
- Proficiency with the range of Microsoft Office Suite of products, with emphasis on Word, Outlook, Excel, and PowerPoint.
- Ability to work unsupervised independently and within a team environment.
- Current driver's license.
