About the RoleThis is an exciting chance to provide high-level administrative support to our admissions team. As a key member of our team, you will be responsible for managing client data, coordinating admissions and discharges, preparing financial and legal documentation, and ensuring compliance with regulatory standards.
Key Responsibilities- Maintain accurate client databases and resident records by collecting, verifying and recording information in accordance with organisational policies and procedures.
- Prepare resident agreements, invoices and government subsidy claims accurately and efficiently.
- Support all stages of the admissions process, including initial enquiries, tours and welcome procedures, providing exceptional customer service and communication skills.
- Manage transitions from respite to permanent care, maintain waiting lists and ensure timely and efficient allocation of resources.
- Assist with financial quoting and communicate service and fee structures clearly to residents, families and stakeholders.
- Liaise effectively with residents, families, solicitors and community stakeholders to ensure seamless communication and collaboration.
- Ensure concessional entitlements are lodged and processed promptly.
- Provide backup support for reception and archiving tasks as required.
- Demonstrate open, respectful and effective communication with all stakeholders, fostering strong relationships and building trust.
- Collaborate with internal teams and external health providers to support resident outcomes and promote a culture of excellence.
- Strong interpersonal skills, professional, consultative, approachable, tactful.
- Proven ability to effectively communicate with all relevant stakeholders.
- High level of empathy and patience when dealing with elderly and vulnerable people and their families.
- Proven experience in roles that require maintaining confidentiality.
- High level of personal motivation, initiative and integrity.
- Excellent time management skills.
- Professional telephone manner, demonstrating a caring, friendly and welcoming attitude.
- Responsive to issues and concerns raised and follow-up in a timely manner.
- Proficiency with Microsoft Office Suite, particularly Word, Outlook, Excel and PowerPoint.
- Ability to work unsupervised independently and within a team environment.
- Current driver's license.
