Position Summary
To provide an extremely high level of professional service and customer focus to all MICE/Events clients which in turn maximises hotel revenue and profitability by providing a administrative support to the Event Sales & Planning department.
The Role
To follow all Capella Events Standards when assisting the department to prepare proposals and contracts, providing administrative support and creating internal Event Confirmations
To fully and correctly use the Catering system
To adhere to Capella standards in answering of telephones and providing courteous service to clients.
To develop Event Confirmations creation skills by preparing Event Confirmations for internal functions and client events of 10 guests and under.
To provide administrative support for the event sales and planning department, including but not limited to creating proposals and contracts after receiving a Envision activity and typing up menus, place cards and table plans
To administer and maintain adequate office supplies and stationery items and ensure this is managed cost effectively. To maintain the storeroom in a tidy condition.
To ensure all Event Sales and restaurant menus are up to date and available for team use
To be familiar with the competition as well as market evolution and trends and complete special projects as assigned.
To attend (and prepare for) a daily briefing, Event Confirmation meetings and any other meetings as required.
To maintain good relationships with colleagues and all other departments.
To comply with local legislation and be conversant and act in accordance with any legal issues relating to your department.
Talent Profile
Hospitality or Sales/ Marketing qualifications are preferred
**Experiences**: 1 year previous catering sales or events environment experience in luxury hotels/resorts or the hospitality sector
Knowledge of Hotel Property and Catering Management Systems (OPERA)
Proven customer service experience
Demonstrates organizational and time management skills
Demonstrates strong communication and interpersonal skills
