About The Job

The Facilities & Service Coordinator role is essential for ensuring smooth operations in both facility management and administrative tasks, across Australia and New Zealand. Responsible for maintaining safe and productive facilities, managing vendors, and providing administrative support, this position plays a key role in optimizing resources and enhancing organizational efficiency.

This role is based in our Huntingwood, Sydney office.

Key Tasks
- Develop and implement plans for preventative maintenance of buildings and grounds.
- Coordinate office maintenance services and repairs for all sites.
- Supervise cleaning services to ensure cleanliness and sanitation across properties.
- Conduct site inspections and reporting functions.
- Coordinate repairs and renovations with contractors and internal staff.
- Monitor facility budget and initiate cost-saving measures.
- Conduct contract management and utility reviews to minimize costs.
- Prepare reports and analyse supplier spend and performance.
- Monitor outdoor activities, including waste removal and recycling programs.
- Handle admin related purchase orders and coding of supplier invoices.
- Provide general administrative support within Shared Services.
- Manage security and access control.
- Replenish office and kitchen supplies as needed.
- Act as data steward and provide master data admin support.
- Maintain close working relationships with internal and external stakeholders, including site managers.
- Track and report on key facility metrics.
- Stay updated on industry best practices and emerging technologies.
- Other ad hoc duties as required.
