Your Role

This is a fast-paced and varied position with opportunities to make a real impact. Key responsibilities include:
Bookkeeping and Banking
- The role is responsible for all bookkeeping using Xero. This includes:

- Daily bank reconciliations
- Recording and reconciling customer and supplier payments
- Banking cheques and cash receipts
- Keeping all bank accounts reconciled monthly
- Reconciling all balance sheet accounts (including debtors, creditors, ATO, payroll liabilities) monthly

Payroll and Superannuation

The role is responsible for all payroll and superannuation responsibilities, including:

- Monitoring timesheets via Employment Hero software
- Collating payroll reports
- Processing payroll weekly
- Sending payroll reports and aba files for payment to Aaron or Jodi to process
- Lodging single touch payroll reports via Xero on day of payroll'
- Reconciling superannuation liability monthly
- Lodging superannuation payments via Xero quarterly
- Adding new employees to Employment Hero and Xero and managing all associated paperwork and lodgements

IAS, BAS, payroll tax and payroll compliance and lodgements

The role is responsible for payroll, ATO and superannuation lodgements, including:

- Lodging single touch payroll reports via Xero on payroll days and end of year
- Lodging payroll tax reports annually or monthly (depending on lodgement schedule)
- Lodging Instalment Activity Statements monthly and Business Activity Statements quarterly
- Liaising with the tax accountant to prepare the end of year tax return

Accounts Receivable
- Preparing and sending out sales invoices for school camp
- Managing deposit payments and final payments of the above invoices
- Reconciling the accounts receivable register monthly
- Reconciling payments from online bookings and other systems

Accounts Payable
- Receiving and entering supplier invoices i nto Xero
- Preparing weekly supplier payments
- Sending supplier payments aba file to management to process weekly
- Reconciling payments via credit and debit cards
- Managing supplier invoice filing via Xero

HR Administration
- The role includes managing the human resources administration and support
- Ensuring that all employees have valid and current employment contracts and certifications
- Induction of new staff
- Overseeing annual employment anniversaries
- Managing Workcover policies and claims
- Overseeing the use of Employment Hero

Financial Administration

The role is responsible for managing the administration that comes with a finance role, including:

- Digital filing of all supplier invoices
- Physical filing of all finance and HR paperwork
- Managing office supplies, stationery and similar

Our Expectations

The role is responsible for a wide variety of tasks, and will come with busy and quieter periods as the business is a seasonal business. The expectation is that you will be able to manage your workload to complete all tasks - weekly, monthly, quarterly and annually. The expectation is that you will have exceptional attention to detail which is required for the competent management of bookkeeping, HR and finance tasks. You will be supported by and supporting the general manager and managing directors. You will also have support from our external tax accountant and our external CFO. Both of these advisers know our business very well and can help you to excel at the role, especially if you are proactive in communicating with them. There is the opportunity to progress the role into a Finance Manager role, which would also include managing the cash flow and future cash flow projections, as well as overseeing and being responsible for the financial reports and management accounting.
