As a Project Coordinator, you'll work closely with the Data, Analytics & AI leadership to support various projects, contribute to research, analysis and coordination, and manage project documentation.
You will coordinate key meetings and events and engage with internal and external stakeholders to collate updates and capture issues.
You will provide high-level administrative support, meeting coordination and ad-hoc tasks to enable the team to operate effectively and at pace.ResponsibilitiesAssisting with project planning, tracking progress, managing project documentation, coordinating project meetings and events, and communicating with stakeholders.Providing general administrative support including organising and facilitating leadership and priority project meetings and events, including scheduling meetings, recording minutes and decisions and tracking actions.Undertake administrative tasks such as organising recruitment activities, onboarding new team members, ordering resources, tracking expenses and costs.Proactively preparing emails, presentations, reports, and documentation.Scheduling and coordinating internal and external meetings across time zones.Handling sensitive information with discretion and maintaining confidentiality.Communicating with stakeholders and keeping them informed of project progress.Assist with creation/maintenance of project documentation in line with Ampol's project management methodology, maintain project information in Ampol's project tool and project reporting.Liaise with program/project managers, other team members and vendors to determine progress of deliverables; identify issues and escalate as necessary.Support the financial administration of project/programs using ERP systems such as SAP to raise POs, Goods Receipts, and extract reports.Use solid organisational skills, including multitasking and time management to ensure activities are completed on time and deadlines are met.QualificationsExcellent time management, organisation, communication and interpersonal skills with the ability to deliver results on deadlines.Experience with project management terms like RAID, RACI and methodologies like Waterfall or Agile.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Atlassian Suite (JIRA and Confluence).
