**About you**
We are looking for an Intake Officer to join our team based in Blacktown, NSW.
The individual will be responsible for data entry, overseeing office maintenance, facilitating the onboarding of clients as well as management of third-party referral streams. The role requires you to understand the operations of the business, have great interpersonal skills and willing to take on a challenge.
**As the Intake Officer, your role will include but not be limited to the following**
- Answer and direct inbound phone calls;
- Be the first point of contact for enquiries and potential referrals relating to the company's services;
- Provide a detailed handover once the intake process is complete;
- Arrange appointments and manage schedules;
- Provide excellent customer service to community members, clients and staff;
- Assist other staff and management where necessary and reporting back where necessary;
- Facilitate communication with residents and/or their families and staff in relation to office administration requirements;
- Ensure all tasks, correspondence and activities are handled in a confidential manner;
- Oversee and direct the intake of participants for requested services; Follow the onboarding process;
- Follow up on incomplete and/or dormant referrals;
- Identify and escalate issues which require urgent attention;
- Ensure all relevant information are relayed to relevant departments;
- Assist in managing Maple's presence with relation to Third Party referral vendors.
**Essential Criteria**:
- Minimum 1 years' experience in administration/reception
- Preferred experience in customer service
- Driver's License with access to a car
- Intermediate in Microsoft Office
- Excellent time management skills
- Strong analytical and decision making skills
- Excellent written, verbal and interpersonal communication skills
- Strong project management and multitasking skills
- A strong sense of accountability and a commitment to delivering quality outcomes
- Ability to work in a fast-paced environment, can accomplish tasks without direction.
