THE ROLE

As an Event Coordinator, you will be responsible for organizing and executing events from start to finish. You will work closely with PR agencies, event venues, contractors, and other partners to ensure successful event planning, execution, and follow-up.

THE RESPONSIBILITIES

Work with the PR agencies to develop event concepts, themes, and messaging to meet the goals and objectives of each event.
Identify suitable event venues and negotiate contracts with event venues, suppliers, and contractors.
Work with AV vendors to provide high-quality audio-visual equipment and technical support to ensure the smooth running of the events.
Create detailed schedules and run sheets, including timelines, task assignments, and deadlines.
Manage event logistics, including transportation, parking, lodging, and other related details.
Manage the budget for each event, including securing co-funding from partners, tracking expenses, and ensuring adherence to budget guidelines.
Coordinate event marketing efforts, including the development of marketing materials and the distribution of invitations and other promotional materials.
Work with internal teams and external partners to ensure seamless execution of events.
Act as the main point of contact for all stakeholders, including attendees, sponsors, vendors, and partners.
Develop post-event reports and conduct evaluations to measure the success of each event and identify areas for improvement.
Develop and execute successful events that meet organizational objectives.
Manage event budgets and negotiate contracts to ensure cost-effective execution of events.
Build and maintain relationships with event vendors, partners, and stakeholders.
Conduct post-event evaluations to identify areas for improvement.
Ensure compliance with all event-related policies and procedures.
THE CANDIDATE
Bachelor's degree in Marketing, Communications, or related field.
3+ years of experience in event planning and coordination.
Excellent organizational and project management skills, with the ability to manage multiple events simultaneously.
Strong communication and negotiation skills to liaise effectively with stakeholders.
Knowledge of event planning software and technology.
Ability to work effectively under pressure and tight deadlines.
Strong attention to detail and ability to work independently and as part of a team.
