The Opportunity:

Newcastle Anglican has a rare opportunity for a Rostering professional to join the Anglican Care team. You will be responsible for overseeing rostering operations and workforce coordination across 9 residential aged care facilities. You will ensure efficient scheduling, management of the casual staffing pool, and compliance with workforce requirements to support safe, high quality service delivery. The successful applicant will provide leadership and day to day support to a small team of rostering clericals.

This is a permanent Full-Time opportunity.

Role & Responsibilities:

  • Oversee day to day rostering functions and casual pool management to ensure adequate staffing and skills mix across facilities and services.
  • Lead, mentor, and support the rostering team to ensure consistent, accurate, and timely rostering outcomes
  • Strategic thinker with a proactive and solutions-focused mindset.
  • Ability to work independently and as part of a team, managing multiple priorities effectively.

  • Ensure rosters are compliant with industrial instruments, Enterprise Agreement provisions, and employment contracts
  • Act as a subject matter expert in rostering systems, providing guidance and training to new team members to ensure consistent and effective use.
  • Conduct regular roster audits to ensure compliance with industrial instruments, policies, and operational requirements, identifying and addressing discrepancies where required
  • Support casual pool recruitment processes, onboarding, allocation, and utilisation to meet workforce demand and reduce agency reliance.
  • Work with Residential Care Managers to forecast staffing needs, manage leave coverage, and support workforce planning initiatives
  • Build and implement strategies to retain casual employees, supporting a stable and engaged workforce.
  • Proactively support and facilitate conversations with employees regarding transition from casual to part-time employment, including responsibility for contract variations and documentation.
  • Liaise with staff and managers to resolve roster conflicts, address queries, and communicate roster changes effectively.
  • Be a key point of contact for casual pool staff, managing day to day enquiries with a supportive approach and escalating matters to the appropriate manager when required.
  • Monitor and report on key workforce metrics (e.g. overtime, casual usage, shift coverage, unplanned leave) to support decision making.
  • Contribute to workforce projects and process improvements that enhance efficiency, employee experience, and service delivery.
  • Maintain accurate staff records, system data, and documentation in line with organisational policies.
  • Support Clerical team members as required across a range of tasks to ensure the smooth running of daily operational and administrative needs.
  • Undertake all duties with the customers' expectations and needs in mind.
  • Consult with stakeholders as relevant to the role, ensuring effective communication with the Anglican Care team and external suppliers in all aspects of service delivery.
  • Undertake other duties as reasonably requested by the Manager.

About you?

  • Demonstrated experience in rostering and workforce systems, preferably in an Aged Care or Health setting.
  • Strong computer literacy including rostering systems and databases, Microsoft Office Suite (Excel, Word and Outlook)
  • Demonstrated experience leading, mentoring and supervising a small team.
  • Excellent interpersonal and communication skills with the ability to build strong relationships with managers and employees.
  • Strong organisation and problem-solving skills, with the ability to manage competing priorities in a fast-paced environment.
  • A current NDIS check
  • National Police Check (Newcastle Anglican will consider the relevance of any reported outcomes).
  • Knowledge of the aged care sector highly desirable.
