Welcome to Ngaanyatjarra Lands, a vibrant tapestry of culture and community nestled within the vast beauty of the Australian desert. Home to approximately 2000 Yarnangu (Ngaanyatjarra people) across 11 unique communities, our council is dedicated to preserving and celebrating our rich heritage spanning over 10,000 years and 250,000 square kilometres.
Established in 1981, the Ngaanyatjarra Council Group represents the interests of the Ngaanyatjarra People across the 11 communities in the Central Desert region of Western Australia. Employing in excess of 450 people, NCG provides a wide range of services, including health, utilities, construction, employment, community development, shops, roadhouses, art centres and land services. It is one of the largest and most successful Indigenous organisations in the country.

The Opportunity: Maintenance Support Administrator
The Maintenance Support Administrator provides essential administrative and operational support to ensure the efficient delivery and close-out of infrastructure maintenance activities.
This role is responsible for reviewing job reports, raising variations, progressing work orders through internal systems, and ensuring all necessary data is accurately captured for invoicing.
The ideal candidate will have experience in infrastructure maintenance environments and demonstrate an agile, solutions-focused mindset to support dynamic field operations.

Key Responsibilities
Job Report Review:
Read and interpret maintenance job reports from field technicians and contractors to verify completed works against job scope.
Job Variations:
Identify and raise variations where job scope has changed due to on-site conditions or additional works, ensuring all changes are documented and approved as per company procedures.
Workflow Progression:
Update and move jobs through appropriate statuses in line with work completion, client approvals, and operational milestones.
System Management:
Efficiently operate maintenance management systems, including SImpro, Safety Culture, and internal proprietary systems, to input, update, and monitor job data.
Quality Assurance:
Apply a proactive and detail-oriented approach to verify that job information is complete, accurate, and ready for invoicing or close-out.
Cost Compilation:
Assist with the preparation of invoicing details, including the accurate collation of materials, labour, and travel costs associated with each job.
Communication & Coordination:
Liaise with maintenance teams, subcontractors, and internal departments to clarify job outcomes and ensure smooth flow of information.
Process Improvement:
Contribute ideas to streamline job tracking and administration processes, ensuring high levels of service delivery in a fast-paced operational environment.
About You:
- Strong understanding of infrastructure maintenance operations and terminology.
- Demonstrated ability to interpret job reports and technical documents.
- Confident working across multiple job management platforms and systems.
- High attention to detail and commitment to data accuracy.
- Capable of managing competing priorities and working to deadlines.
- Strong communication skills with the ability to work collaboratively across departments.
- Initiative-driven, creative thinker who can identify and resolve workflow issues.
- Knowledge of maintenance job costing including materials, labour, and logistics.
Essential
- Previous administrative experience in the infrastructure maintenance, civil, or asset management sector preferred.
- Proficiency in digital maintenance and safety platforms (e.g., Simpro, Safety Culture) is highly regarded.
- Familiarity with invoicing and job costing processes.
- Certificate or Diploma in Business Administration, Asset Maintenance, or a related discipline (desirable).
- Minimum 2 years of administrative experience in infrastructure maintenance, civil, or asset management sector
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Australian citizenship, permanent residency, or valid work visa
