We are currently seeking a meticulous and dynamic administrative professional to join our team on a full-time basis in the role of Executive Assistant to the Deputy Principal, commencing in January, 2026.
Your role:
As the EA to the Deputy Principal, you will play a vital role in supporting the leadership and operational success of the College. This position involves providing high-level strategic and administrative support to the Deputy Principal and key members of the Senior Leadership Team.
You will serve as a central liaison, fostering effective communication between the Deputy Principal and staff, parents, and students, while managing sensitive matters with professionalism and discretion.
You will be required to efficiently act on urgent issues requiring attention, monitor deadlines and ensure the accuracy of communications, developing and implementing systems and procedures which ensure the smooth functioning of the College.
Responsibilities may include:
- Act as first point of contact within the school for staff, students, parents and others seeking contact with the Deputy Principal.
- Diary and calendar management, including appointments, meetings and set up for the Deputy Principal.
- Provide a high level of administrative, secretarial and organisational support.
- Prepare agendas and minute taking for meetings as required.
- Assist in managing the Deputy Principal's budget, being responsible for financials – purchase orders, requisitions, submission of receipts on webexpenses and reconciliation of monthly statements.
- Draft professional communications on behalf of the Deputy Principal.
- Assist with strategic planning, managing projects, and preparing reports or presentations.
- Ensure deadlines for reports, submissions, or projects are met.
- Assist with organising major events including front facing external events.
- Organise travel and accommodation for the Deputy Principal as required.
- Liaise with key stakeholders, including Academic, Finance, Administrative and Support staff as required.
- Oversee the operations of the Deputy Principal's office.
Key Selection Criteria
- Ability to cope within a high-pressure environment – staying calm and positive.
- A positive, professional demeanor and a proactive mindset.
- The ability to handle confidential information with the utmost discretion.
- Highly developed written and communication skills combined with a proven record of professional conduct that is consistent with the level of the position.
- Advanced knowledge in the use of Word, Excel, PowerPoint, Outlook and a disposition for skills advancement in such technologies.
- Ability to produce complex documentation (mail merge, table of contents), power points (embed ideos) and excel (formulas)
- Experience with document drafting and database management
- Strong interpersonal skills and a solution-focused approach.
- Well-developed organisational and time management abilities
- Proven ability to meet deadlines and prioritise workload.
- Experience in an educational setting is a bonus but not essential.
Essential Qualifications:
- Have a current Positive Notice working with children Blue Card, or the ability to obtain one.
- Degree in Administration or related discipline (desirable).
- Relevant industry knowledge and experience
