Your Role at St John of God Subiaco Hospital

We are seeking a Personal Assistant to join the executive department on a full-time, 12-month fixed-term contract.

The successful candidate will provide high-level secretarial and administrative support to designated members of the Executive Team as assigned.

The Position

  • Arrange meetings, including preparation of agenda and minutes and distribution of same, plus ensuring catering, secretarial, teleconferencing / videoconferencing, and other support services as required.

  • Complex diary and events calendar management.

  • Communications management including telephone, email, mail.

  • Undertaking word processing, spread sheeting, and PowerPoint functions as required.

  • Organise travel, vehicle hire and reserve accommodation directly with preferred suppliers.

  • Provide administrative support to the Managers within the Directorate as required

  • Undertake projects, as instructed by the Directors, and use own initiative to drive projects from commencement to completion

  • Development of marketing and promotional materials such as newsletters, posters and flyers

  • Manage day-to-day office management of equipment and stationery as well as maintaining the 'bring up' system and filing system for relevant Directors.

  • Liaise with and maintain effective and cooperative communication with Directors, Managers, Caregivers, Group Services Executive and external organisations.

  • Meeting and greeting visitors for members of the Executive team where appropriate as well as creating a welcoming and hospitable environment both personally and via telephone and written communication.

You will have extensive experience in a comparable role, providing support at an Executive level, along with highly developed interpersonal and negotiating skills, with a sound ability to develop rapport with stakeholders.

To succeed you will be possessing advanced written communication skills, including correspondence and agenda preparation, a commitment to customer service with the ability to problem solve and discretion and confidentiality in all matters.

We can offer you

  • Salary: $85,508 to $87,204, plus 12% superannuation

  • 12-month fixed term full-time position, working 38 hours per week
