About the role

Due to growth within the business, the organisation is seeking experienced broker support assistants.

As a broker support assistant, you will be managing/assisting with the loan application process from post the initial client enquiry, through to settlement, along with any other administration tasks allocated by the company.

Immediate start

No sales experience is required as this is a back-office support role.

Duties include

• Manage client relationships and maintain proactive communication from initial enquiry through to post-settlement follow-up.
• Oversee and coordinate client file workflow processes from initiation to completion.
• Facilitate client onboarding, including engagement, needs analysis, and collection of required documentation.
• Validate loan applications, complete data entry, and lodge submissions via ApplyOnline/NextGen and other relevant systems.
• Liaise with banks, solicitors, accountants, real estate agencies, and other stakeholders to ensure a smooth client experience.
• Monitor, manage, and follow up on finance approval processes for residential, commercial, asset, and equipment finance.
• Ensure adherence to lender policies, compliance requirements, and lending procedures, with accurate record keeping for audits.
• Provide administrative support including document preparation, file maintenance, reporting, and database updates.
• Assist clients with the execution of mortgage, commercial, and asset finance documentation.
• Collaborate with brokers, internal staff, and overseas teams to enhance customer experience.
• Attend and contribute to team meetings, fostering a collaborative work culture.
• Support marketing and communication initiatives, including CRM updates, client mail-outs, and the use of tools such as Google Business Suite and DocuSign, as well as creating fee content for the business's social media platforms, including LinkedIn, RED, and others.

Skills and experience

• Minimum 12 months' experience in loan processing, banking, loan writing, loan administration, asset finance, or equipment finance.
• Working knowledge of residential and commercial lending products and processes.
• Proficiency in ApplyOnline/NextGen, Google Suite, Microsoft Office, Excel, DocuSign; MailChimp experience advantageous.
• Strong understanding of the current banking environment and lending regulations.
• Excellent communication, interpersonal, and customer relationship skills.
• Strong organisational skills with the ability to manage multiple files and deadlines.
• Critical thinking, problem-solving, and attention to detail.
• Self-motivated with the ability to set and achieve daily goals independently.
• Flexible, team-oriented, and confident, with a positive and professional disposition.
• Experience creating marketing and fee-based content for business social media platforms (e.g., LinkedIn, RED).
• Mandarin language skills preferred.
• Certificate IV in Finance and Mortgage Broking desirable but not essential.
• Ability to pass police and credit checks.
