Position Description Events Coordinator

Purpose

The Events Coordinator is responsible for the planning and execution of quality civic and major

events, as well as overseeing and supporting the facilitation of events organised by external

parties.

Reporting to the Unit Manager Media and Engagement, the role is responsible for providing

expert advice to business units on managing events and leading cross-organisational teams

to ensure seamless event planning and delivery.

Key Deliverables

  • Manage the production, promotion and delivery of Council's civic events, including

citizenship ceremonies, community awards presentations, significant day

celebrations and other civic events aligning with Events Strategy.

  • Liaise with key external stakeholders, including the offices of elected government

representatives and councilors.

  • Develop and lead major/iconic events in the City of Marion, such as Concert at the

Cove, Marion Celebrates and Touch a Truck.

  • Prepare and manage council event budgets.

  • Identify and develop policies, procedures and templates which support the event

management processes across Council.

  • Identify and implement process improvements to enhance the event management

process within the organisation.

  • Oversee the management of External Events Permit applications and approvals.

  • Manage and supervise contractors, staff and volunteers in the preparation and

delivery of Council-led events.

  • Coordinate cross-council teams to support the delivery of events including:

o Marketing and Communications team to develop and implement Marketing

and Communications plans that promote Council and community activations

and events.

o Operations team to manage road changes, waste management, site

preparation and remediation.

o Executive Assistant to Mayor and CEO to coordinate Elected Member and

Mayor involvement.

  • Manage event operations including risk management and site management plans.
  • Review and evaluate activations against Council strategies, plans and set KPIs, and

develop a summary of learnings and recommendations.

  • Provide expert advice and leadership to business areas responsible for developing

and running their own events to build their event management capability.

  • Provide mentoring, support, assistance, and advice for community event organisers

in the scoping and delivery of local events.

  • Undertake staff training on best practice event management techniques to build

capability of business units.

  • Develop and maintain a consolidated engagement and events calendar in

collaboration with Community Engagement function.

  • Identify internal new opportunities for event related activities.
  • Evaluate the effectiveness of Council events activities and recommend opportunities for

improvement.

Person Specification

Essential criteria

  • Qualifications in a relevant discipline (events management) and/or demonstrated

experience in events management at a senior officer level.

  • Extensive experience in the planning, development, implementation and evaluation of

community-based events management within a multi-disciplinary organisation.

  • Ability to provide professional and timely advice to Elected Members, Executive

Leadership Team, senior managers and staff.

  • Proven ability to work lead teams to support organisational objectives.
  • Proven ability to establish and maintain effective partnerships with external and

internal stakeholders.

  • Sound strategic and analytical thinking with the ability to simplify and present complex

ideas with clarity, and use of problem-solving skills.

  • High level project management skills to establish priorities and meet milestones and

deadlines.

  • Excellent verbal and written communication and interpersonal skills including creation

of professional documentation.

  • Strong experience with stakeholder risk management, marketing, event management

and digital communications.

  • Extensive experience in a wide range of communications and engagement techniques

at all levels particularly in relation to difficult and complex issues with competing

stakeholder interests and communities facing proposals for change.

  • Demonstrated experience in managing external suppliers and contractors.

Desirable criteria

  • Experience in working effectively in a political environment and demonstrated political

acumen.

Standard conditions

  • Satisfactory completion of a National Police Clearance (will be arranged by the City of

Marion)

  • Satisfactory completion of applicable Medical Assessment (will be arranged by the

City of Marion)

  • Must be either an Australian resident or possess the legal right to work in Australia,

with the ability to provide documentation of a valid work visa.

  • This is a prescribed position as defined by the City of Marion Safe Environments for

Children and Vulnerable Persons Policy. Therefore, incumbent must:

o Promote and maintain a child safe environment and take relevant actions in

accordance with council's Safe Environments for Children and Vulnerable

Persons Policy and with legislative requirements under the Children and Young

People (Safety) Act 2017 and the Child Safety (Prohibited Persons) Act 2016.

o Satisfactorily complete a DHS Working with Children Check (to be renewed

every five years) and be willing to undertake Child Safe Training.
