Position Description Events and Engagement Officer

Purpose

The Events and Engagement Officer is responsible for managing small to medium-impact

civic and community events that foster involvement and connection, such as reserve and

playground openings, sod-turning ceremonies, significant day celebrations, and other ad-

hoc civic events. The role also supports the 'Events Coordinator' in the production and

delivery of major events, citizenship ceremonies, and community awards presentations.

The Events and Engagement Officer facilitates events organized by external parties and

supports community engagement initiatives. This includes the coordination and

administration of Special Event Permits for events.

Working collaboratively across departments, the Events and Engagement Officer ensures

that events and engagement activities are delivered seamlessly, align with key strategic and

organisational objectives, and are effective in engaging the City of Marion community.

Key Deliverables

  • Lead the production, promotion, and delivery of small to medium-impact civic and

community events, including reserve and playground openings, sod-turning

ceremonies, significant day celebrations, and ad hoc civic events.

  • Deliver community engagement events that foster community involvement and

connection.

  • Assist with developing and maintaining project pages in the Making Marion

engagement portal.

  • Facilitate events organised by external parties (e.g. markets, concerts)

  • Coordinate and manage the issuing of Special Event Permits, including their

administration, evaluation, and issuance through customer and internal stakeholder

liaison.

  • Develop, maintain, and regularly review the Special Event Permit Application form

and supporting documentation.

  • Support the production and delivery of major events, citizenship ceremonies, and

community awards presentations.

  • Liaise with internal and external stakeholders in the planning and delivery of events.

  • Provide mentoring, support, and advice to event organisers in scoping and delivering

their events.

  • Assist with other events and community engagement activities as required

  • Identify and implement process improvements.

  • Maintain and organise the events storage area.

Person Specification

Desirable criteria

  • Self-motivated, detail orientated person with experience in planning and event

coordination.

  • Ability to coordinate and manage the processing and delivery of applications via

council's Customer Relationship Management (CRM).

  • Commitment to process improvement.

  • Highly organised and demonstrates initiative.

  • Advanced customer service and interpersonal skills with a commitment to providing a

positive customer experience.

  • Ability to liaise effectively with external and internal stakeholders.

  • Proven negotiation skills to successfully engage, consult, liaise, negotiate and resolve

conflict.

  • Time management, ability to multitask and prioritise to meet deadlines.

  • Provide training to staff to enable efficient processing.

  • Ability to work both independently and in a team environment.

  • Proficiency and knowledge of computer software and Microsoft 365.

  • An understanding of the Local Government environment with the ability to work

within Council policies and procedures.

Standard conditions

  • Satisfactory completion of a National Police Clearance (will be arranged by the City of

Marion)

  • Satisfactory completion of applicable Medical Assessment (will be arranged by the

City of Marion)

  • Must be either an Australian resident or possess the legal right to work in Australia,

with the ability to provide documentation of a valid work visa.

  • Comply with existing Work, Health and Safety legislation and regulation obligations and

apply "Think Safe Live Well" philosophy.

  • Embrace ethical and moral behavior and report any suspected instances of fraud

and/or corruption in accordance with Fraud and Corruption Management and the

Code of Conduct.

Other conditions specific to the role

• Must hold a valid, full (unrestricted) driver's license in accordance with South Australian

requirements.

  • Frequent out of hours work will be required, including attendance at Council

meetings and events.

  • This is a prescribed position as defined by the City of Marion Safe Environments for

Children and Vulnerable Persons Policy. Therefore, incumbent must:

o Promote and maintain a child safe environment and take relevant actions in

accordance with council's Safe Environments for Children and Vulnerable

Persons Policy and with legislative requirements under the Children and Young

People (Safety) Act 2017 and the Child Safety (Prohibited Persons) Act 2016.

o Satisfactorily complete a DHS Working with Children Check (to be renewed

every five years) and be willing to undertake Child Safe Training.
