We are a small to medium-sized business specialising in the installation and servicing of electronic technology and security systems. Based in Preston, we're seeking a proactive and detail-oriented Office Administrator / Service Manager's Assistant to support our Service Manager and wider team.

This is a hands-on, varied role ideal for someone with strong admin skills and experience in a technical or trade services environment.

Key Responsibilities

  • Provide administrative support to the Service Manager and key staff
  • Front-line customer service via phone and email; manage client enquiries and bookings
  • Schedule jobs and allocate tasks to field staff; ensure timely follow-through
  • Maintain and update client database and service records
  • Transpose technician notes, stock usage, and hours into SimPro for invoicing
  • Track job progress and follow up with technicians and clients
  • Manage stock levels, order materials, and liaise with suppliers
  • Handle returns, deliveries, and stock reconciliation
  • Prepare reports (daily, weekly, monthly) and assist with documentation (e.g. site folders, PM schedules)
  • Support basic accounts receivable, payable and payroll tasks (e.g. timesheets, leave tracking)
  • Maintain office supplies, cleanliness, and amenities
  • Contribute to workflow improvements and process efficiency

What We're Looking For

  • Minimum 1 year experience in office admin or service support (security/trade services preferred)
  • Strong attention to detail and accurate data entry skills
  • Excellent written and verbal communication
  • Ability to work independently, manage competing priorities, and show initiative
  • Advanced MS Office skills (Excel, Word, Outlook); SimPro experience highly regarded
  • Professional, organised, and solutions-focused mindset

Salary: Commensurate with experience + Super | Career Progression Available

Full-Time Hours | Monday to Friday, 08:30–16:30
