Bracken Ridge State High School is seeking a motivated and detail-oriented Administration Officer to support Accounts Receivable and Payable functions, while also assisting the Business Manager and wider school community through efficient financial and administrative operations. This role plays a key part in ensuring effective resource and financial

You will be a great fit if you have financial administration experience, including demonstrated expertise in accounts receivable and payable functions such as invoice processing, reconciliations, accurate data entry, and the effective use of financial systems, preferably OneSchool or similar, which supports the efficient management of school financial operations in line with relevant procedures and regulations.

Your Responsibilities

As the Administration Officer, your responsibilities will include, but are not limited to:

  • Manage day-to-day financial activities including processing invoices, purchase orders, charge accounts, and corporate card transactions in OneSchool.
  • Ensure timely and accurate payment and recovery of accounts, including reconciliations of customer accounts and corporate cards.
  • Provide financial administrative support including data entry, maintaining registers, and clerical assistance to ensure the smooth operation of the school office.
  • Administer aspects of accounts receivable, including the Student Resource Scheme, payment plans, Laptop program, and Centerpay arrangements.
  • Support the management of Business Activity Statements (BAS), GST compliance, and provide guidance to staff on GST implications.
  • Interpret and apply departmental and school policies, guidelines, and ensure compliance with relevant legislative and procedural requirements.
  • Identify and implement opportunities for continuous improvement in financial and administrative processes.
  • Assist with the day-to-day financial management of the school by identifying problems, conducting research, negotiating with program managers, and recommending practical solutions.
  • Liaise professionally with external contractors regarding service provision, invoicing, and school operational requirements.
  • Coordinate and schedule maintenance activities based on school needs and the Maintenance Assessment Report using the Built Environment Materials Information Register (BEMIR).
  • Oversee and assist with staff financial claims, timesheets, ADO tracking, and vendor data to ensure timely and accurate information.
  • Strong Knowledge of Policies and Procedures
  • Understanding of (or ability to quickly acquire knowledge of) departmental and school-based policies, legislative requirements, financial regulations, and administrative procedures relevant to Queensland state schools.
  • Ability to identify financial or process issues, conduct research, seek appropriate advice, and implement solutions effectively.
  • Strong written and verbal communication skills, with the ability to liaise effectively with internal staff, program managers, external contractors, and stakeholders in a professional manner.
  • Ability to manage competing priorities, meet deadlines, and handle a diverse workload in a busy school environment.
  • Competence in using financial and administrative software such as OneSchool, Microsoft Excel, Word, and other departmental systems (e.g., BEMIR for maintenance scheduling).
  • Understanding of school asset management practices and familiarity with tools like BEMIR for scheduling maintenance and managing facilities.
  • Demonstrated capacity to work with discretion, maintain confidentiality, and handle sensitive financial and staff-related information professionally.
