Role Description

This is a full-time entry level on-site role for an Assistant Strata Manager & Office Administrator located in our Ultimo office. The Assistant Strata Manager & Office Administrator will be responsible for assisting in day-to-day tasks providing exceptional Strata Management and supporting the Office Manager in administration tasks.

KEY ACCOUNTABILITIES

ASSISTANT STRATA MANAGER

  • Assist the Strata Manager in their functions as requested
  • Issue work orders and follow up with contractors as required
  • Enter invoices and provide reports as required, ensuring accuracy
  • Maintain records to ensure compliance with relevant legislation
  • Prepare meeting agendas and minutes as requested
  • Daily contact with external stakeholders (contractors and committee members)
  • Attend meetings with the supervision of a Strata Manager
  • Any other tasks as required.

OFFICE ADMINISTRATOR

  • Reception relief for daily lunch breaks and when receptionist is on leave
  • Action strata search requests and assist with over-flow of duties from reception, ie email requests for Section 184 Certificates

  • Assist with record preparation and collections for lost plans

  • Assist the Office Manager in their functions as requested

  • Management of keys

  • Champion the management of Administration and Office folders

  • Assist Office Manager & People & Culture Manager with onboarding of new Team Members

  • Organise and set up training room for weekly training, including capturing attendance and updating officewide training plan

  • Meeting room set-up for client meetings (maintain meeting room tidiness outside of meetings)

  • Arranging staff morning teas and functions

  • Assist Office Manager with continuous improvement of internal templates and procedures

  • Sharepoint posts and updates

  • Social Media posts

  • Security ID management (Fingerlan)

  • General communications and circulars to the team

  • Assist with general office maintenance and liaise with the building manager

  • Any other duties as required by Office Manager or team.

Qualifications/Skills

  • Office administration experience ideally 1-2 years
  • Strong communication and interpersonal skills
  • Attention to detail and organizational abilities
  • A proactive approach to tasks
  • Ability to work collaboratively with a team and independently
  • Proficiency in Microsoft Office and relevant strata management software
  • An interest in property management or related field is a plus
  • You will need to complete a Certificate of Registration.
