Role Description
This is a full-time entry level on-site role for an Assistant Strata Manager & Office Administrator located in our Ultimo office. The Assistant Strata Manager & Office Administrator will be responsible for assisting in day-to-day tasks providing exceptional Strata Management and supporting the Office Manager in administration tasks.
KEY ACCOUNTABILITIES
ASSISTANT STRATA MANAGER
- Assist the Strata Manager in their functions as requested
- Issue work orders and follow up with contractors as required
- Enter invoices and provide reports as required, ensuring accuracy
- Maintain records to ensure compliance with relevant legislation
- Prepare meeting agendas and minutes as requested
- Daily contact with external stakeholders (contractors and committee members)
- Attend meetings with the supervision of a Strata Manager
- Any other tasks as required.
OFFICE ADMINISTRATOR
- Reception relief for daily lunch breaks and when receptionist is on leave
Action strata search requests and assist with over-flow of duties from reception, ie email requests for Section 184 Certificates
Assist with record preparation and collections for lost plans
Assist the Office Manager in their functions as requested
Management of keys
Champion the management of Administration and Office folders
Assist Office Manager & People & Culture Manager with onboarding of new Team Members
Organise and set up training room for weekly training, including capturing attendance and updating officewide training plan
Meeting room set-up for client meetings (maintain meeting room tidiness outside of meetings)
Arranging staff morning teas and functions
Assist Office Manager with continuous improvement of internal templates and procedures
Sharepoint posts and updates
Social Media posts
Security ID management (Fingerlan)
General communications and circulars to the team
Assist with general office maintenance and liaise with the building manager
Any other duties as required by Office Manager or team.
Qualifications/Skills
- Office administration experience ideally 1-2 years
- Strong communication and interpersonal skills
- Attention to detail and organizational abilities
- A proactive approach to tasks
- Ability to work collaboratively with a team and independently
- Proficiency in Microsoft Office and relevant strata management software
- An interest in property management or related field is a plus
- You will need to complete a Certificate of Registration.
