We are seeking a highly organized, mature and friendly individual to join Ivanhoe Medical Clinic as a Casual Medical Receptionist. A committed approach with a warm smile and genuine care factor is essential in providing an exceptional circle of patient care, while simultaneously maintaining a pleasant, yet highly functional team environment.

As the first point of contact for patients, you will play a vital role in ensuring their experience is positive and efficient. Your responsibilities will include greeting patients, scheduling appointments, managing phone calls, maintaining patient records, and providing excellent customer service. The ideal candidate should have excellent communication skills, attention to detail, and the ability to multi-task effectively in a fast-paced medical environment.

Skills:

  • A fast learner with excellent verbal and written communication skills

  • Strong organizational skills with attention to detail

  • Ability to handle multiple tasks simultaneously

  • Experience as a Medical Receptionist and/or basic knowledge of medical terminology is preferred

  • Must be proficient with computer skills (MS Office Suite)

  • Exceptional interpersonal skills

  • Ability to maintain confidentiality

Responsibilities:

  1. Greet patients warmly upon arrival and ensure they feel comfortable throughout their visit

  2. Schedule appointments accurately, handling busy phones and managing inquiries appropriately

  3. Management of patient records

  4. Financial management - accounts collection and arrears

  5. Maintain cleanliness and organization of reception area and practice throughout, include stock control management

  6. Collaborate with medical staff and/or other team members regarding any changes in appointment schedules or urgent patient needs

  7. Handle incoming/outgoing mail efficiently including sorting correspondence/documents
