We are seeking a highly organised and adaptable 
Executive Assistant
 to support the CEO across multiple businesses in the property and construction sector, including real estate, funds management, building, and property developments.

This role goes beyond traditional diary management — you will act as a 
project support lead
, ensuring deadlines are met, communications are professional and timely, and the CEO is freed from unnecessary administration. The position is diverse and fast-paced, covering real estate, property development, funds management, and building projects.

The successful candidate will be proactive, detail-oriented, and confident in managing multiple priorities across different businesses.

Key Responsibilities

Executive Support

  • Manage the CEO's diary, emails, and project communications.
  • Draft and proof professional correspondence, contracts, reports, meeting notices, and newsletters.
  • Prepare and format Information Memorandums (IMs), investor updates, and formal notices.
  • Feasibility and property price sales/updates
  • Creative research and prospecting projects

Project Coordination

  • Support active projects across:
  • Property
     developments
  • Funds management
     activities
  • Building & construction
     projects
  • Real estate
     operations and transactions
  • Liaise with consultants, lawyers, financiers, and stakeholders to gather information, chase updates, and prepare documentation.
  • Maintain virtual data rooms, manage due diligence extensions, and support investor negotiations.
  • Implement and maintain project management systems to ensure accountability across all stakeholders.

Marketing & Communications

  • Prepare e-newsletters, flyers, and updates (Canva, Flodesk/ActivePipe, AgentBox).
  • Maintain various websites and landing pages (Squarespace).
  • Coordinate distribution of marketing material and ensure IM downloads are tracked.

Administration & Operations

  • Work within a close knit team of town planners, architects, developers, and development managers.
  • Handle document preparation and formatting (Adobe, Word, Excel, SharePoint).
  • Use Buildxact to manage project documentation and admin for construction projects.
  • Support financial administration including invoice tracking, budgets, and reconciliations.
  • Assist with internal team communications and reporting.

Skills & Experience Required

  • Strong 
    executive assistant or senior administration experience
    , ideally supporting senior leadership.
  • Experience in 
    real estate, property development, funds management, contract management or construction
     highly regarded.
  • High-level written communication skills — able to draft professional letters, reports, and investor updates with minimal input.
  • Strong project coordination skills — ability to manage moving deadlines and competing priorities.
  • Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, SharePoint).
  • Proficiency in:
  • AgentBox, ActivePipe, Flodesk
  • Canva, Adobe Acrobat
  • Squarespace (or other CMS)
  • ClickUp or Airtable (or similar project/CRM systems)
  • Buildxact (nice to have, or willingness to learn)
  • MYOB (finance support)
  • Ability to quickly learn new systems and 
    implement project management tools
     and software across teams to ensure efficiency.
  • Proactive problem-solver, able to "think on your feet" and work independently.
  • Ability to utilise AI to work efficiently and effectively.

Weekly Hours / Structure

This role can be Part-Time, 4–5 Days / 25 Hours Per Week – potential to grow to full time 38 hours per week. Flexible for right person. Days/hours negotiable with opportunity for hybrid roll.
