The Project Co-ordinator at Victorian Temporary Fencing (VTF) will play a dual role in supporting project delivery and assisting the sales team. This role ensures that fencing and hoarding projects are delivered smoothly from planning through to completion while also supporting client engagement, quoting, and sales growth. The role requires an element of detail and a roll your sleeves up approach
Acting as a key link between operations and sales, the Project Co-ordinator will help maintain VTF's reputation for professionalism, reliability, and responsible service. A basic knowledge of the construction industry and white card would be favourable.

Key Responsibilities

Project Co-ordination
• Assist with planning, scheduling, and delivery of fencing and hoarding projects.
• Liaise with site managers, contractors, and clients to confirm project requirements.
• Track project progress, budgets, and timelines, escalating any risks or delays.
• Co-ordinate delivery and installation teams, ensuring compliance with safety standards.
• Maintain accurate records of project documentation, costs, and client communications.
• Support sustainability and compliance initiatives by working with VTF's certified suppliers.

Sales Support
• Prepare and assist in developing quotes, tenders, and proposals for fencing and hoarding projects.
• Respond to client enquiries and provide timely follow-ups to convert opportunities into confirmed orders.
• Update the CRM system (Hubspot) with client interactions, leads, and project opportunities.
• Support the sales team with documentation, presentations, and pipeline reporting.
• Monitor reservations and forward orders to ensure seamless handover from sales to operations.
• Build and maintain strong relationships with clients by providing consistent, professional support throughout the sales and project lifecycle.

Skills and Qualifications
• Experience in project co-ordination, client services, or sales support within construction, hire, or related industries.
• Strong organisational and time-management skills, with the ability to manage multiple projects.
• Excellent communication skills for liaising with builders, developers, and contractors.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) experience with CRM or project management systems an advantage.
• Financial awareness and ability to assist with budgeting and cost tracking.
• Knowledge of temporary fencing, hoarding, or construction logistics (preferred).
• Relevant qualifications in Project Management, Business Administration, Sales, or Construction Management (desirable).
