Key Responsibilities:
QCG is seeking an experienced Medical Secretary ready to take the next step in their career as a Medical Secretary Team Leader. This is an exciting opportunity to lead a high-performing team while continuing to deliver exceptional patient care and administrative excellence.
As a key member of our leadership team, you will play a vital role in ensuring the smooth operation of our clinics, the satisfaction of our patients, and the success of our Northside medical secretary team. As a team leader, you will:
- Lead and support the Northside medical secretary team, ensuring they deliver comprehensive administrative support to our Cardiologists and compassionate care to our patients and their families.
- Provide effective line management to direct reports, including monitoring and supporting performance against key metrics.
- Coach, train, and mentor team members, empowering them to respond to patient enquiries with professionalism and empathy.
- Drive engagement and retention, fostering an inclusive, enthusiastic, and values-driven team culture.
- Motivate and inspire team members to achieve business objectives and maintain service excellence.
- Oversee onboarding and induction, ensuring new team members have the confidence and capability to succeed.
- Support professional growth, ensuring learning and development opportunities align with business needs and team aspirations.
- Manage Cardiologists' diaries, ensuring optimal scheduling of clinics and procedures.
- Coordinate medical appointments, procedures, and testing, balancing precision with flexibility.
- Handle patient calls and queries with empathy, ensuring all follow-ups and results are managed efficiently.
- Process invoices accurately and maintain confidential patient records.
- Serve as a key liaison between patients, specialists, and healthcare partners, always representing QCG with warmth and professionalism.
Key Requirements:
- Proven experience as a Senior Medical Secretaryor similar role within a healthcare setting.
- Strong communication and interpersonal skills, with a patient-first mindset and ability to confidently handle ambiguity and process complex information to deliver successful outcomes.
- Demonstrated ability to work effectively with multiple stakeholders across departments — including nursing staff, medical practitioners, and hospital administrators.
- Exceptional organisational ability, with the demonstrated ability to multitask whilst maintaining strong attention to detail.
- Proficiency with medical terminology, Medicare, and health fund processes.
- Skilled in Microsoft Office and other standard office systems.
- A proactive, collaborative team player who thrives in a dynamic and fast-paced environment.
- Ability to demonstrate leadership abilities with potential to further develop skills.
- Travel between multiple clinics across Brisbane as required (training and development workshops are often held at our HQ at St Andrews in Spring Hill).
Highly Regarded:
- Experience in private cardiology or a hospital environment will be a distinct advantage.
