Director of Facilities and Asset Management

Position Summary

The Director of Facilities and Asset Management (DFAM) provides strategic leadership, operational oversight, and hands-on

guidance in planning, developing, maintaining, and ensuring the safety of the School's physical assets, including buildings,

grounds, plant, equipment, and associated infrastructure.

The role ensures the School's facilities and grounds are safe, functional, and aesthetically appealing, while meeting the

compliance obligations and supporting the School's educational and co-curricular programs. It carries the responsibility for

leading the Property Services team, including managing property, maintenance and cleaning staff, and overseeing all aspects of

capital works, refurbishments, preventative and reactive maintenance, contractor engagement, asset lifecycle planning, and

environmental sustainability initiatives. Reporting to the Business Manager, and working closely with the Senior Leadership

Team, and external providers, the DFAM fosters a collaborative, high-performance culture that delivers exceptional service to

students, staff, parents and visitors.

Selection Criteria

SC1 Leadership and Strategic Management: Demonstrated ability to lead, mentor, and develop a diverse team, while

providing strategic oversight of facilities and asset management. Evidence of successfully aligning facilities planning

and operations with organisational strategic priorities, including capital works, sustainability initiatives, and long-term

asset lifecycle planning.

SC2 Risk, Safety, and Compliance Expertise: Comprehensive knowledge of Workplace Health and Safety legislation, fire

safety requirements, and building regulations, with proven experience embedding a proactive safety culture.

Demonstrated capacity to manage compliance obligations, risk mitigation, and emergency response across large and

complex facilities.

SC3 Project, Financial, and Stakeholder Management: Proven track record in delivering capital works and maintenance

projects on time and within budget, including preparing scopes, budgets, and schedules, managing contractors, and

ensuring compliance. Strong financial acumen in budget development and monitoring, with highly developed

communication and interpersonal skills to build positive relationships with staff, contractors, and external authorities.

Director of Facilities and Asset Management

Position Summary

The Director of Facilities and Asset Management (DFAM) provides strategic leadership, operational oversight,

assets, including buildings, grounds, plant, equipment, and associated infrastructure.

The role ensures the School's facilities and grounds are safe, functional, and aesthetically appealing, while

meeting the compliance obligations and supporting the School's educational and co-curricular programs. It

carries the responsibility for leading the maintenance team, including managing property, maintenance and

cleaning staff, and overseeing all aspects of capital works, refurbishments, preventative and reactive

maintenance, contractor engagement, asset lifecycle planning, and environmental sustainability initiatives. The

DFAM reports to the Business Manager and is part of the Senior Leadership Team, collaborating with the team

and external providers to cultivate a high-performance culture that delivers exceptional service to students, staff,

parents, and visitors.

Key Responsibilities

Strategic Leadership and Planning

  • Develop, implement, and regularly review the School's property and facilities strategy, aligning with the

strategic and master plans

  • Provide expert advice to the Principal, Business Manager, and School Council on asset management,

infrastructure priorities, and long-term capital planning

  • Oversee the planning, budgeting, and delivery of capital works, refurbishment projects, and

environmental sustainability initiatives

  • Ensure effective procurement and contractor management, maximising value for money while meeting

safety, quality, and compliance requirements

  • Maintain and develop the School's facilities and infrastructure to an exceptional standard, ensuring

alignment with operational needs and strategic priorities

  • Fulfil the responsibilities of the School's Workplace Health and Safety Officer, ensuring compliance with

legislative requirements and embedding a proactive culture of safety across all facilities and operations,

in collaboration with the Compliance team

  • Prepare and present Workplace Health and Safety reports to the Executive, School Council, and the

Anglican Diocese as required

  • Act as the School's Fire Safety Advisor, ensuring compliance with associated regulations. This includes

maintaining and reviewing the Fire and Evacuation Plan and evacuation diagrams, coordinating

evacuation practices and training, monitoring prescribed fire safety installation and maintenance,

liaising with Queensland Fire and Rescue during inspections, and providing ongoing advice and

support to ensure a safe and compliant environment.

Facility Operations and Maintenance

  • Oversee all aspects of building, grounds, and asset management, ensuring a high standard of

presentation, functionality, and safety

  • Implement preventative and reactive maintenance programs, asset registers, and lifecycle plans

  • Take responsibility for purchasing approved capital items and property-related operational requirements

  • Manage and coordinate the distribution of deliveries across the School, ensuring parcels and goods are

delivered efficiently to the appropriate departments and areas (generally on a daily scheduled basis)

  • Oversee and prioritise the maintenance request system, ensuring clarity of responsibility between IT

and Property and the timely completion of maintenance and support requests from staff and students.

Project and Contractor Management

  • Lead and manage the delivery of construction, refurbishment, and maintenance projects from initiation

to completion

  • Prepare project scopes, budgets, and schedules and oversee contract negotiations, tendering, and

contractor performance and compliance

  • Liaise with builders, architects, project managers, engineers, and other consultants to ensure all works

meet the required standards and compliance obligations

  • Coordinate with regulatory bodies and local authorities for permits, inspections, and compliance

approvals

Team Leadership and Development

  • Lead, mentor, and develop the maintenance team ensuring clear role expectations, professional

development opportunities, and a culture of accountability and service excellence

  • Delegate tasks effectively, balancing operational workload with individual strengths, interests, and

development goals

  • Foster a safe, respectful, and collaborative work environment.

Risk, Safety, and Compliance

  • Ensure the School complies with all statutory, WHS, fire safety, environmental, and building

requirements

  • Champion a proactive culture of workplace health and safety by leading hazard identification, risk

mitigation, and best practice initiatives across the School

  • Act as the primary contact for after-hours security and fire alarm incidents, and respond to emergency

maintenance issues (e.g. burst pipes, storm damage) as required

  • Maintain oversight of security systems, utilities infrastructure, and emergency preparedness for the

School site

  • Manage property-related insurance claims under the direction of the Business Manager, and coordinate

periodic reviews of property-related insurance coverage.

Financial Management

  • Prepare and manage annual budgets for property and facility-related services, maintenance, and

capital works

  • Monitor expenditure against budgets, ensuring financial accountability and cost-effectiveness
  • In collaboration with the Director of Human Resources and Compliance, maintain accurate records,

registers, and reporting systems for assets, maintenance, and compliance

  • Support the Business Manager in preparing applications for capital grants and in developing long-term

financial plans for property development.

Stakeholder and Community Engagement

  • Build and maintain positive working relationships with internal stakeholders, contractors, consultants

and external authorities

  • Provide timely and transparent communication regarding facilities works, disruptions, and safety

matters

  • Support School events by coordinating venue preparation, equipment set-up, and logistical

requirements.

Cleaning Services

  • Coordinate, supervise, and schedule cleaning staff and contractors to ensure the School premises are

maintained to a high standard of cleanliness and presentation

  • Oversee waste management services, including timely collection and appropriate disposal
  • Arrange and manage specialist cleaning contracts, including carpets, windows, building and hygiene

services

  • Implement and coordinate recycling services, programs and initiatives as required.

Security

  • Oversee the installation, maintenance, and operation of CCTV, security, and electronic lock systems, in

consultation with the Director of ICT where required

  • Develop, implement, and review security policies and procedures to ensure the safety of staff, students,

and property

  • Arrange and supervise contracted security services
  • Coordinate the installation and maintenance of locks, lighting and alarms across the School
  • Manage and maintain the school key systems (Abloy/Salto), liaising with the Director of ICT where

required

  • Liaise with the Business Manager and/or Principal (or delegate) regarding property damage to ensure

appropriate insurance and rectification processes are followed.

General

  • Provide a monthly report to the Business Manager on projects, activities, schedules, sustainability

initiatives, and proposed future works and development ideas

  • Support the Business Manager in advancing the School's sustainability programs and initiatives,

including monitoring, reporting, and continuous improvement

  • Foster a committed, efficient and solutions-focused work environment, encouraging creativity and

collaboration across departments

  • Coordinate and recommend improvements to traffic management and parking on School property,

including signage and road-marking requirements

  • Assist with the development, implementation, and review of policies and procedures where applicable
  • Actively participate in professional development and training relevant to the role

  • Undertake other responsibilities as directed by the Business Manager or Principal to address emerging

priorities.

Knowledge and Experience

  • Extensive knowledge of property, asset, and facilities management in a school or similar environment
  • Strong understanding of WHS legislation, building regulations, and compliance frameworks
  • The ability to lead teams, manage contractors, and deliver projects on time and within budget
  • Demonstrated experience in capital works planning and delivery
  • Financial acumen, including budget preparation, cost control, and procurement processes
  • Familiarity with asset management systems and digital workflow tools.

  • Demonstrated practical skills in property maintenance, building repairs, and grounds care
  • Physically fit and able to safely carry out manual tasks, including lifting, bending, operating machinery,

and working outdoors in various weather conditions

Qualifications

Essential

  • Relevant tertiary qualification in facilities management, engineering, construction, or a related field; or

significant equivalent experience

  • Current Queensland Working with Children Blue Card (or ability to obtain)
  • Certificate IV in Workplace Health and Safety
  • Open and unrestricted manual driver's license.

Desirable

  • Trade Qualified
  • HR/MR License (or willingness to obtain)
  • Project Management qualifications
  • First Aid and CPR certification.
