Reports to: Primary Buyer & Ecommerce Manager
The Buying and Ecom Assistant supports both the Buying and Ecommerce teams to ensure a smooth flow of products from supplier to store, warehouse, and online. This role is responsible for accurate product data management, order fulfilment coordination, online merchandising, and maintaining clear communication between departments to ensure product availability and a seamless customer experience.
Key ResponsibilitiesBuying Support
- Process purchase orders accurately and in a timely manner.
- Maintain and update incoming delivery schedules and stock arrival boards in Google Drive.
- Liaise with suppliers to confirm order status, delivery dates, and resolve basic issues.
- Communicate delivery timelines, product training needs, and availability updates to retail and ecommerce teams via written and visual briefs (Canva).
- Support the Buyer with administrative tasks, sample chasing, and range documentation.
- Maintain buy file on a daily basis.
- Upload new products to Shopify (images, descriptions, pricing) using supplier data.
- Merchandise online collections and coordinate promotions.
- Maintain online stock, product details, and pricing accuracy.
- Assist with customer service enquiries and basic reporting.
- Pick, pack, and dispatch online orders with care and efficiency.
- Coordinate with warehouse on delivery allocations and replenishments.
- Assist with product photoshoot preparation, styling, and scheduling.
- Experience in ecommerce, retail buying, warehousing, or admin (preferred).
- Advanced Excel and Google Sheets skills; comfortable with Shopify and Canva.
- Strong organisational and communication skills.
- Attention to detail and accuracy in data management.
- Proactive problem-ss.
- Interest in interiors, design, or retail presentation.
