Primary objective
Manage the secretariat team to deliver high-quality executive support and administrative services, with primary responsibility for overseeing
ministerial liaison and strategic corporate reporting for the Department of Corporate and Digital Development (DCDD) Office of the Chief
Executive.
Context statement
The Office of the Chief Executive provides secretariat and executive support, management of ministerial and cabinet processes, coordinates
strategic reporting and intra-agency meetings, and manages agency business operations. The team has a strong customer service focus,
manages competing deadlines, and staff may be required to vary work hours.
Key duties and responsibilities
1. Provide expert advice on protocols, procedures and appropriate standards relating to ministerial practices, secretariat, and executive
services functions.
2. Manage a quality and timely ministerial liaison service, including the coordination and preparation of ministerial and Cabinet briefs,
submissions, papers, reports, and all other related requests.
3. Manage workloads to ensure outcomes and deadlines are met in a climate of change while maintaining a strong focus on the accuracy,
content, and quality of work.
4. Lead, manage and undertake research and projects as directed by the Director Executive Services that may require coordination across
the department and/or with external parties and facilitate tasks and processes that assist in meeting desired outcomes.
5. Prepare and manage the delivery of executive strategic corporate reporting processes, including meeting tight timeframes where
appropriate and quality control prior to review by the Director Executive Services.
6. Manage the Executive Services team and executive support projects to ensure delivery of departmental goals and objectives.
Selection criteria
Essential
1. Excellent knowledge of Parliamentary, Cabinet and Government processes and administrative arrangements, with the ability to provide
effective, professional advice in relation to procedures, requirements, and protocols.
2. Demonstrated ability to lead, motivate and support staff, build effective teams, and maintain effective, professional relationships.
- Proven experience in gathering, investigating, and interpreting information from diverse sources to make informed recommendations to
senior executive leaders, and high-level written skills to compose, proof-read and edit materials for a range of audiences.
4. Excellent time management and organisational skills with the ability to maintain quality, manage multiple tasks and meet competing
deadlines in a high demand and pressured environment.
5. Demonstrated high standards of integrity and experience in working in an area requiring a high level of confidentiality and judgement,
with ability to quickly assess, identify and escalate issues in a limited timeframe.
6. Comprehensive interpersonal, influencing and negotiating skills to build rapport and negotiate outcomes; and ability to analyse complex
issues with others in a succinct and understandable manner at all levels of staff.

1. Recent experience in a similar role and/or current working knowledge of DCDD's functions and policies.
